Systems Operations Specialist
Location: 100% remote
Overview
The Systems Operations Specialist Outreach is responsible for ensuring the governance, efficiency, and optimization of Outreach processes across global Business Development Representative (BDR) teams. This role plays a critical part in supporting day-to-day operations, maintaining system hygiene, and proactively troubleshooting issues, while driving continuous improvements aligned with organizational goals. The ideal candidate will combine strong technical expertise in Outreach with a detail-oriented, problem-solving mindset to ensure smooth adoption, compliance, and performance across teams worldwide.
Key Responsibilities
- Run-the-Business (RTB) Operations
- Maintain and oversee Outreach workflows to ensure consistent, reliable performance across global teams.
- Monitor system usage and proactively address performance gaps or operational risks.
- User Administration & Team Management
- Provision new user seats and manage onboarding activities.
- Oversee seat allocations, license management, and updates to team structures as business needs evolve.
- Troubleshooting & Optimization
- Investigate and resolve Outreach-related issues and system errors.
- Partner with stakeholders to identify opportunities for process enhancements, leveraging new features and releases to improve efficiency.
- Sequence Auditing & Hygiene
- Conduct regular global audits of sequences, collections, teams, and rulesets.
- Ensure compliance, accuracy, and consistency in prospecting operations.
- Establish governance practices to enforce hygiene standards.
- Cross-Functional Support & Enablement
- Collaborate with global sales operations, enablement, and IT stakeholders to align Outreach processes with organizational goals.
- Provide guidance and best practices to ensure system adoption and productivity.
Skills & Qualifications
- Strong understanding of Outreach functionality, configurations, and best practices.
- 2 4 years of experience in system administration, operations, or sales technology management (Outreach or similar platforms preferred).
- Proven ability to manage system workflows, troubleshoot issues, and implement scalable processes.
- Analytical mindset with strong problem-solving skills and high attention to detail.
- Excellent communication skills and ability to work cross-functionally with global teams.
- Comfortable managing multiple priorities in a fast-paced environment.
Preferred Qualifications (Nice to Have)
- Experience supporting BDR/SDR or sales organizations.
- Familiarity with CRM systems (e.g., Microsoft Dynamics, Salesforce).
- Knowledge of sales operations, enablement, or revenue technology ecosystems.
- Prior experience with global system governance and compliance processes.
