Job Title: Project Coordinator
Location: Hybrid 2 days/week onsite in Brooklyn, NY (Preferred: Mondays, Tuesdays, or Wednesdays)
Work Hours: Monday Friday, 8:30 AM 5:00 PM Eastern
Start Date: July 7, 2025
End Date: TBD Based on project needs and timelines
Schedule: 40 hours/week
References Required: 3 professional references per candidate


Job Description:

We are seeking a Project Coordinator to join our team in a hybrid capacity, supporting the successful execution of ongoing and upcoming projects. The selected candidate will be instrumental in managing administrative tasks, ensuring smooth communication, and providing critical support to project teams and stakeholders.


Scope of Services:

  • Project Planning: Collaborate with Business, IT, Business Analysts, and other stakeholders to define scope, deliverables, and project timelines.

  • Resource Management: Assist in coordinating personnel and material resources to meet project demands.

  • Communication Facilitation: Serve as a key point of contact for internal and external stakeholders; organize meetings, prepare agendas, and capture meeting outcomes.

  • Progress Monitoring: Track project milestones and deliverables using tools such as Planview, Sensei, or Jira.

  • Risk Management: Identify project risks and support mitigation planning with Project Managers and other teams.

  • Documentation: Maintain detailed project documentation including status reports and meeting notes.

  • Issue Resolution: Support identification and resolution of challenges impacting project schedules or outcomes.


Mandatory Skills & Experience:

  • Experience with project planning and resource coordination

  • Proven ability to facilitate effective communication among technical and business teams

  • Skilled in tracking and reporting on project progress using project management software (e.g., Planview, Sensei, Jira)

  • Familiarity with risk and issue management processes

  • Strong documentation and organizational skills


Preferred Qualifications:

  • Strong attention to detail and ability to manage multiple priorities

  • Excellent written and verbal communication skills

  • Problem-solving mindset and ability to resolve project-related issues

  • Proficiency in tools like Microsoft Office Suite, Jira, Visio, Planview, Sensei

  • Demonstrated interest in professional development (e.g., pursuing PMP certification, active in project management networks)
