Ardent is seeking a Front Desk / Administrative Assistant to join our team.
This hybrid role requires 3–4 days per week onsite at our Tysons Corner–Vienna, VA office.
Position Description:
We are looking for an organized and proactive Front Desk / Administrative Assistant to serve as the first point of contact for our company and provide daily administrative support. This role includes front desk duties, office coordination, and executive assistance. The ideal candidate is personable, able to handle multiple tasks in a fast-paced environment, comfortable working both independently and with a team, and understands the importance of on-site presence. Trustworthiness and accountability are essential.
Responsibilities and Duties:
- Front Desk & Office Support
- Greet visitors and create a welcoming, professional first impression.
- Answer and route incoming calls, emails, and inquiries.
- Manage conference room schedules and prepare meeting spaces.
- Handle daily mail: receive, sort, and distribute; manage outgoing shipments.
- Order, stock, and maintain general office and breakroom supplies.
- Ensure shared spaces (lobby, kitchen, break areas, copy rooms) are clean, stocked, and presentable.
- Coordinate with building management and service vendors (cleaning, maintenance, etc.).
- Administrative & Executive Support
- Maintain calendars and assist with scheduling for leadership team members.
- Arrange travel logistics, including flights, hotels, and transportation.
- Prepare and submit expense reports.
- Support meeting and event planning, including ordering catering, preparing materials, and setup/cleanup.
- Assist with company-wide communications, announcements, and document preparation.
- Support research projects.
- Provide occasional off-site or after-hours assistance during corporate events.
- All other duties as assigned.
Requirements:
- 2+ years of experience in an administrative, receptionist, or office support role (government contractor environment preferred).
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat.
- Strong written and verbal communication skills.
- Highly organized with great attention to detail and the ability to juggle multiple priorities.
- Demonstrated professionalism, discretion, and reliability.
- Prior experience assisting executives preferred.
