Job Title: ServiceNow Strategic Portfolio Management (SPM) Functional Architect

Location & Working Model

  • Hybrid role: preference for onsite, but candidate must be willing to travel as needed (depending on project phases and client needs.)
  • Primary location: [Pasadena, CA, USA]

Experience Level

  • Minimum: 10+ years in IT / enterprise systems
  • Deep experience (functional + moderate technical knowhow) specifically on ServiceNow SPM module implementations
  • Experience in greenfield implementations preferred

Job Summary

The ServiceNow SPM Functional Architect will lead greenfield implementation of Strategic Portfolio Management on the ServiceNow platform. This role will analyse business requirements, define solution design, guide developers and technical teams, ensure best practices, and drive governance and performance. The Architect will work closely with business stakeholders, PMO / portfolio leads, integration teams, QA, and change management.

Key Responsibilities

Business Requirement & Stakeholder Engagement

  • Conduct workshops / interviews with business stakeholders to gather, understand, and document requirements for portfolio, demand, resource, financial etc.
  • Translate business needs into functional specs (use cases, process flows, data flows).
  • Prioritize demands based on business value, feasibility, ROI.

Solution Design & Architecture

  • Define the solution architecture for SPM, including modules like Demand Management, Portfolio / Program / Project Management, Resource Management, Financial Planning and Forecasting, and Innovation Management.
  • Ensure alignment with enterprise standards, compliance, scalability, performance, security, and maintainability.
  • Design data model, integrations (REST/SOAP, Integration Hub, MIDserver etc.), UI / UX (Workspaces, dashboards), workflows, approval chains, etc.

Greenfield Implementation

  • Lead setting up the instance: configuration, module activation, defining templates, setting up roles and access controls.
  • Define process design for intake/demand process, project prioritization, resource allocation, financial planning.
  • Oversee build deliverables by technical team: configure vs customize decisions, ensure adherence to best practice.
  • Implement reporting & analytics dashboards for visibility to executive stakeholders (performance analytics, scorecards, KPIs).

Governance, Best Practices & Quality Assurance

  • Define architecture & coding standards, naming conventions, reuse guidelines.
  • Ensure governance for change control, release management, versioning.
  • Conduct design/code reviews; monitor performance and system health.
  • Ensure test strategies (unit / integration / UAT) and ensure compliance with nonfunctional requirements.

Integration & Data Management

  • Define strategies for integrating SPM with other systems (ERP / financial systems, timesheet systems, JIRA / dev tools etc.).
  • Define data import / migration (if any), data validation, data quality standards.
  • Ensure CMDB / CSDM compliance if that s part of architecture or dependencies.

Mentorship & Team Leadership

  • Guide and mentor functional / technical team members (business analysts, developers, admins).
  • Facilitate knowledge transfer, best practices, documentation.
  • Be a trusted advisor and point of escalation for complex design decisions.

Change Management / Training & Support

  • Work with change management / governance teams to ensure stakeholder adoption, user training, communication plans.
  • Support deployment, golive, stabilization, postgolive support (resolving issues, optimization).
  • Assist with upgrades / patches to SPM features in future ServiceNow releases.

Continuous Improvement & Innovation

  • Stay current with ServiceNow SPM roadmap, new features, platform capabilities (e.g. workspace enhancements, flow designer, new UI options).
  • Identify opportunities to reduce customizations, use configuration, improve process efficiency, automate repetitive tasks.
  • Propose reusable components, accelerators, templates.

Preferred Qualifications

  • Certified Implementation Specialist ServiceNow SPM
  • Certified System Administrator / Certified Application Developer
  • Experience with CMDB and CSDM frameworks
  • Experience in Agile / Safe / Scrum delivery methodologies
  • Prior exposure to large scale enterprise SPM rollouts
  • Experience or familiarity with Financial / Budgeting systems or ERP, PMO tools
