Job Description:
  • The Administrative Support Specialist provides comprehensive administrative, coordination, and organizational support across multiple functions, including timekeeping, HR coordination, procurement assistance, policy monitoring, meeting management, and executive support.
  • This role supports both day-to-day operations and long-term initiatives led by the Executive Director.
Responsibilities:
  • Perform biweekly and monthly timekeeping tasks for employees and contractors.
  • Assist with travel planning, procurement organization, and document preparation.
  • Schedule meetings, prepare agendas, and document minutes.
  • Distribute agendas and minutes as required.
  • Manage office events and coordinate executive-level meetings.
  • Track action items and ensure follow-up.
  • Coordinate contractor hiring with staff augmentation vendors.
  • Post and remove positions on internal sites.
  • Manage employee hiring processes as needed.
  • Request access and equipment for new hires.
  • Confirm onboarding and offboarding with managers.
  • Serve as liaison for HR-related communication.
  • Coordinate initiatives led by the Executive Director.
  • Gather and compile information for internal and external requests.
  • Act as a liaison with agencies and organizations seeking IT assistance.
  • Assist in preparing technical presentations and materials.
  • Review policies and collaborate on developing organizational policies.
  • Monitor proposed and enacted legislation and distribute information for impact assessments.
  • Interpret departmental policies for employees.
  • Coordinate development of nominations for IT awards.
  • Support operational work planning and tracking progress.
  • Perform other administrative tasks as needed to support the Executive Director.
