Job Title: Fresh Program Coordinator

Pay Rate: $28 per hour
Location: In-office Monday through Thursday; work from home on Fridays. Flexibility available for appointments and personal needs.

Overview

We are seeking a detail-oriented and highly organized Fresh Program Coordinator to support the execution and management of incentive programs driving significant category growth. This role focuses on coordinating complex multi-supplier marketing activations, including coupon incentives (Best Customer Communications – BCC) and media campaigns. The coordinator will manage program planning, intake, creative processes, billing, analysis, and post-campaign reporting.

This role offers the opportunity to work closely with cross-functional teams, suppliers, and internal stakeholders to ensure flawless execution and measurable business impact.


Key Responsibilities

Incentive Program (Primarily BCC)

  • Program Proposal & Planning

  • Update and communicate Fresh Forecast monthly

  • Discuss and plan coupon offer setups supporting fresh category needs

  • Build detailed activation plans

  • Align with overlapping offer teams

  • Input supplier funding and data into tracking files and kick off campaign briefs

  • Manage follow-up questions with suppliers

  • Intake & Setup

  • Verify and assign coupon numbers in tracking systems

  • Create coupons in the coupon library

  • QA intake documents and approve nominations

  • Creative Process

  • Inform Campaign Managers of MyMagazine offers requiring creative support by key deadlines

  • Billing & Budget Tracking

  • Provide final approval for billing detail sheets

  • Track and update spend against commodity and supplier budgets

  • Analysis & Reporting

  • Lead benchmark alignment meetings; create reports and suggest benchmarks based on category performance

  • Extract results from data systems (e.g., Prism) and populate templates for reporting

  • Finalize and deliver campaign results

  • Maintain trackers for overlapping offers and outcomes


    Media Campaign Management

  • Program Proposal & Planning

  • Develop strategic recommendations and document proposals

  • Send internal kickoff communications with campaign and supplier details

  • Campaign Setup & Execution

  • Create and manage opportunities in Salesforce

  • Maintain supplier breakout files and campaign trackers

  • Input campaign details into tracking tools and data systems

  • Draft manual briefs for each supplier and manage approvals and signatures

  • Oversee targeting approvals and opportunity closures

  • Coordinate campaign setup in project management tools (e.g., Workfront) with accurate product details and timelines

  • Campaign Monitoring

  • Keep campaign trackers current as campaigns go live

  • Post-Campaign Activities

  • Build manual wrap-up reports summarizing performance

  • Share campaign results with suppliers

  • Schedule review calls for significant events ($300K+ spend)

  • Address billing and invoice inquiries


    Qualifications

  • Strong organizational and project management skills

  • High attention to detail and accuracy

  • Excellent written and verbal communication skills

  • Comfortable managing multiple priorities and meeting tight deadlines

  • Experience working in marketing, advertising, or program coordination preferred

  • Proficiency in Excel and data tracking tools

  • Familiarity with systems like Salesforce, Workfront, or similar platforms is a plus
