Job Title: Technical Project Coordinator
Location: San Francisco, CA (Hybrid includes travel to sites in Alameda, San Mateo, San Francisco, and Tuolumne counties)
Duration: 12 Months
Position Overview
A public sector organization s Information Technology Services (ITS) Division is seeking a highly organized and detail-oriented Technical Project Coordinator to support two major infrastructure modernization initiatives:
Migration of a legacy Avaya phone system to a modern telephony platform.
Modernization of Audio-Visual (A/V) systems across all managed facilities.
The Technical Project Coordinator will play a critical role in planning, coordinating, and tracking these initiatives. This position reports to the ITS Project Director within the Operational Technology & Infrastructure Division and will work collaboratively with internal teams, vendors, and external partners.
Key Responsibilities
Serve as the primary liaison between stakeholders, technical teams, and vendors.
Coordinate project activities, schedules, and milestones to ensure timely and successful delivery.
Assist with site visits, requirement gathering, and documentation of both business and technical needs.
Support planning, scheduling, and quality control for project deliverables.
Prepare meeting agendas, capture minutes, and maintain comprehensive project documentation.
Identify and track project risks; develop mitigation and contingency plans.
Facilitate communication and coordination across internal teams and vendor partners.
Develop and implement end-user communication and transition plans.
Build and maintain effective working relationships with project stakeholders and cross-functional teams.
Required Skills & Experience
Minimum 6 years of experience as a Technical Project Coordinator, Technical Project Lead, or Technical Project Manager.
Proven experience leading large-scale technology projects involving:
3,000+ users
100+ rooms
20+ sites
Experience in phone system migrations, A/V technology upgrades, or other infrastructure deployment projects.
Strong understanding of project management methodologies and tools.
Demonstrated ability to manage multiple priorities and deadlines in a fast-paced environment.
Excellent communication, organizational, and analytical skills.
Technical Proficiency
Proficient to advanced use of Microsoft Office Suite (Excel, Word, PowerPoint, Teams, SharePoint).
Strong experience with Project Management Tools (e.g., MS Project, Asana, or equivalent).
Experience documenting requirements for infrastructure migration and deployment projects.
Additional Requirements
Must have reliable transportation for travel between regional sites.
Must successfully complete a conviction history review per San Francisco s compliance requirements before starting work.

Achievement of project goals with high levels of stakeholder satisfaction.
