Job Brief:

We are seeking a highly organized and proactive Executive Assistant to support our team in efficiently managing daily operations. This role will involve providing administrative support to executives and ensuring smooth communication both internally and externally. The ideal candidate will be resourceful, detail-oriented, and capable of multitasking in a fast-paced environment.

Key Responsibilities:

Act as the primary point of contact for executives, managing their schedules, appointments, and travel arrangements.

Coordinate and schedule meetings, conferences, and appointments, ensuring all necessary preparations are made.

Handle incoming communications, including emails, phone calls, and inquiries, and prioritize them accordingly.

Prepare and edit correspondence, reports, and presentations as needed.

Assist in preparing meeting agendas and taking minutes during meetings.

Conduct research and compile data as required for various projects and reports.

Maintain filing systems, both electronic and physical, ensuring all documents are organized and easily accessible.

Liaise with internal teams and external stakeholders on behalf of executives, fostering positive relationships.

Perform general office duties, such as ordering supplies and maintaining office equipment.

Qualifications:

Previous experience in an administrative role or as an executive assistant is preferred, but recent college graduates with relevant coursework or internships are encouraged to apply.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.

Strong communication skills, both written and verbal, with a professional and friendly demeanor.

Ability to maintain confidentiality and handle sensitive information with discretion.

Resourceful problem solver with a proactive attitude and the ability to work independently.

Bachelor s degree in business administration, management, or a related field is preferred but not required.
