Job Details
Please note that this is a long-term contract position with the possibility of being converted to a full-time role.
Working Hours: Office Hours (8:30 a.m. 4:00 p.m.)
Main Qualifications:
- Education: Degree in Library Science, Information Science, Archives and Preservation, History, or related field.
- Experience: 5 7 years in records management; experience designing or implementing archival systems preferred.
- Language Skills: Clear written and verbal communication in English.
- Technical Skills: Proficient in Microsoft Office, Access, databases, electronic document management, scanning, photography, and digital storage.
- Physical Requirements: Able to lift/move 30 lbs, use hands for repetitive tasks, climb a 6-foot ladder, sit/stand/walk as needed.
- Catholic in good standing with knowledge of Church mission.
- Ability to maintain confidentiality, multitask, and collaborate effectively.

Essential Duties & Responsibilities:
- Analyze archival records for permanent historical value.
- Implement and maintain archival policies, procedures, and electronic record-keeping systems.
- Plan and manage transitions to new archiving systems.
- Maintain the archives and records center, ensuring proper preservation and environmental conditions.
- Catalog and manage collections of documents, photos, videos, and artifacts.
- Maintain a records retention program in accordance with legal and Canon requirements.
- Develop and maintain databases for tracking records, transfers, and destruction eligibility.
- Advise staff on records management, archival materials, and retention policies.
- Facilitate digital imaging of sacramental records and diocesan publications.
- Provide access to archives for research while safeguarding confidentiality.
- Manage incoming requests for information according to archival access policies.
- Maintain professional memberships to stay current with best practices.
- Support daily Chancery operations, including transporting records and supplies (up to 30 lbs).
