Duration: Multi-year (annually funded program)
Overview
Kaiser Permanente is replacing a legacy vendor system for environmental monitoring across clinical facilities. This program covers 15,000-17,000 clinical refrigerators safeguarding critical items such as medications, vaccines, blood products, organs, and tissues. The initial scope includes 37 installations across Northern California, Southern California, and Hawaii, with a timeline of 2.5 years to replace systems in 35 hospitals and ~350 clinics.
This role is central to data migration and normalization from the legacy system to the new platform, ensuring compliance with strict healthcare regulations.

Responsibilities
- Extract and cleanse data from legacy systems (e.g., Temp Track, Securitas, Mesa Labs).
- Build and maintain detailed Excel inventories of clinical refrigeration units (e.g., serial numbers, model, owner, escalation contacts, set points).
- Normalize and validate data across multiple departments (labs, pharmacies, outpatient/inpatient clinics).
- Collaborate with PMs and vendors to ensure accurate sensor ordering and configuration.
- Communicate with stakeholders to gather missing or outdated data; follow up on discrepancies.
- Support compliance audits and maintain regulatory standards (25+ healthcare regulations).
- Participate in training sessions and provide feedback on system configurations.
- Assist with future asset tracking initiatives for mobile medical equipment.
- 40%: Excel ownership and updates (advanced functions like VLOOKUP, macros).
- 30%: Data collection and validation from multiple departments.
- 30%: End-user engagement, training participation, and vendor coordination.
- Strong Excel skills (VLOOKUP, macros, data normalization).
- SQL for data extraction and validation.
- Experience with system migrations and data cleansing.
- Excellent communication skills; ability to proactively gather information.
- Understanding of healthcare compliance and regulated environments.
- Ability to travel (NCAL preferred; SCAL and Hawaii as needed).
- Healthcare or clinical operations experience.
- Familiarity with environmental monitoring systems (Temp Track, Securitas, Mesa Labs).
- Prior work in regulated industries with strict compliance requirements.
