About the Role
We are seeking a dynamic and detail-oriented Project Management Office (PMO) Process Lead to design, implement, and manage the end-to-end intake-to-completion process for all IT projects. This individual will be responsible for developing standardized workflows, creating process documentation, and producing clear, professional diagrams using Microsoft Visio or similar applications. The ideal candidate will have a strong background in project management, process improvement, and IT operations, with robust experience in interviewing and understanding departmental functions and how they interact with project management workflows.
This role also requires strong technical documentation capabilities, including the ability to create and maintain Journey Maps, Process Diagrams, Architecture Diagrams, and Data Flow Diagrams. The ideal candidate will bring a blend of technical writing expertise and project management experience, enabling them to clearly translate complex technical concepts into structured, accessible documentation for both technical and non-technical stakeholders.
Key Responsibilities
Project & Program ManagementDesign and implement a comprehensive PMO intake-to-completion process for all IT projects.Develop, document, and maintain standardized workflows and procedures for project intake, prioritization, execution, and closure.Conduct interviews and collaborate with various departments to understand their functions and how they interact with the project management workflow.Create clear and detailed process diagrams and flowcharts using Microsoft Visio or similar tools.Develop and implement an electronic data intake process, preferably using ServiceNow or similar platforms.Establish accountability checkpoints throughout the project lifecycle to ensure transparency and responsibility.Create and monitor key performance indicators (KPIs) to measure process effectiveness and drive continuous improvement.Develop comprehensive training materials and deliver training sessions to ensure staff can effectively use the newly developed workflow.Create and maintain technical documentation including Journey Maps, Process Flows, Architecture Diagrams, and Data Flow Diagrams to support project clarity and stakeholder alignment.Leverage a technical writing and project management background to translate complex technical concepts into clear, structured documentation.Facilitate cross-functional collaboration and stakeholder engagement through structured communication plans.Identify, assess, and mitigate risks; escalate critical issues per governance protocols.Maintain comprehensive documentation, including RAID logs, status reports, and dashboards.
Capability Building & Continuous ImprovementMentor junior project managers and contribute to PfMO maturity.Apply lessons learned and industry best practices to improve delivery effectiveness.
Required QualificationsBachelor's degree in Information Technology, Business Administration, or related field (Master's preferred).
3+ years of experience in project management, process improvement, or PMO roles.Demonstrated experience interviewing stakeholders and mapping departmental functions to project management processes.Proficiency in Microsoft Visio or similar diagramming applications.Experience developing electronic data intake processes, preferably using ServiceNow.Strong understanding of IT project management methodologies (e.g., PMI, Agile, Lean).Excellent communication, organizational, and analytical skills.Experience with workflow automation tools and project management software is a plus.Ability to work independently and collaboratively in a fast-paced environment.
