Administrative Office Management:   

High Level: 

COVID compliance, preparedness for the premises 

Purchases and Supplies for Office upkeep 

General Office Management and Housekeeping  

Details: 

  • Conference room Management 

  • Breakroom Management 

  • Keys Management 

  • Employee Access Cards/Fobs 

  • Attending to the Lobby 

  • Receiving and forwarding the Calls 

  • Receive and sort incoming mail and deliveries, and manage outgoing mail 

  • Develop office policies and procedures, and ensure they are implemented appropriately 

  • Assist with office layout plannings

  • Manage office budget 

  • Identify opportunities for process and office management improvements, and design and implement new systems 

Qualifications for Office Manager 

Required Skills and Abilities:

  • 5+ years of work experience in an administrative/office management role 
  • Must have exceptional attention to detail

  • Strong problem-solving skills and analytical abilities 
  • Must be proficient with Microsoft Office and Google products 
  • A bachelor's degree in business administration, communications, or a related field is preferable
  • Should be Good in Travel Related, Employee Related, HR Related, Property Management RelatedIT Related: High Level:
  • Assist with managing and maintaining IT infrastructure (Mainly Laptops) in coordination with IT-OPS
  • Details:
  • Provisioning laptops for the employees. - Based on the information from IT Ops, she/he will take the laptop and connect it to the network and will provide remote access for IT Ops and we will configure it.
  • Shipping and collecting back laptops
  • Maintaining Laptops and other IT Ops hardware in the IT Stock room.
  • Labeling the assets.
  • In case of any network issues, supporting IT Ops through a video call
  • Based on the instructions from IT Ops, need to coordinate with network vendors for any assistance.
  • Replacing laptop memory, Hard disk, and battery (under guidance/instructions from IT-OPS 

Travel Related: 

  • Infrastructure setup for international travelers 
  • Onsite Travel Invite letter printing and get the document signed by Dominic and send a copy to offshore
  • Business Invite letter print and get the document signed by Dominic and send to offshore 
  • Identifying the hotel from the new locations and getting sign-off 
  • Share the Credit card authorization with the hotel and get the weekly invoice from the hotel 
  • Addressing the employee queries related to hotel accommodation 
  • Lift and Uber Corporate accounts set up for the transportation for business travelers 
  • Access card issue for the travelers who visit our corporate office in Alpharetta 

Employee Related:

Plan and execute events/occasions

  • Organizing breakfast Fridays 
  • Monthly Happy hours  
  • Events management
  • Relevantz special occasion planning
  • Organizing and conducting Family Day & Holiday party
  • sending out Anniversary emails, Occasion based greetings
  • Arranging gifts/bouquets/flowers for employees for specific occasions etc

HR Related: 

  • Support HR in maintaining files and documents in a very highly confidential manner 

Property Management Related: 

Interface and coordinate with property management:  Including routine maintenance, repair, and upkeep of office premises 

Coordinate for Employee Access cards as needed 

  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars
