Job Title: Operations Coordinator
Job Location: Melville, NY
Work Schedule: Hybrid (Tuesday Thursday Onsite; Monday & Friday Remote)


Position Summary

The Operations Coordinator will provide administrative and analytical support for market-level project operations. This individual will be responsible for managing purchase orders, processing invoices, maintaining project documentation, and tracking key performance data using Excel and Power BI. The role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.


Key Responsibilities

  • Prepare and process purchase orders and requisitions for internal customers within the market

  • Facilitate approval of invoices and process them accurately within internal systems

  • Update tracking systems daily with accurate and complete data

  • Analyze project data using Power BI and Excel templates to support decision-making

  • Maintain organized and up-to-date project files and documentation repositories

  • Participate in project meetings to anticipate and support upcoming project needs

  • Identify added project costs and work with local teams to adjust forecasts

  • Communicate issues or delays to management before reaching critical status

  • Support vendor coordination and documentation accuracy where applicable


Qualifications

Education:

  • High school diploma or equivalent required

  • Associate degree or 2 years of equivalent work experience preferred

Experience:

  • Minimum 2 years of experience in operational or project coordination, preferably within telecom, utilities, or construction industries

  • Demonstrated experience managing purchase orders and invoices

  • Proficient with Microsoft Office Suite (Excel, PowerPoint, Word)

  • Experience with Power BI and Smartsheet preferred

  • Strong written and verbal communication skills

  • Excellent time management and organizational abilities


Skills & Competencies

  • Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP, data analysis)

  • Familiarity with project tracking tools and reporting systems

  • Strong interpersonal skills and ability to collaborate across departments

  • Proven ability to manage multiple tasks and deadlines with minimal supervision

  • High attention to detail and data integrity


Working Conditions

  • Hybrid schedule: 3 days in office (Melville, NY) and 2 days remote

  • Standard office environment with no exposure to adverse conditions
