Job Summary:


As our Payroll Administrator, you will manage full cycle payroll operations across multi state payroll systems using ADP Workforce Now. You ll ensure the accurate, compliant, and timely payment of wages, oversee payroll data integrity, collaborate across departments, and support employee inquiries.


*The ideal candidate must reside in Houston Texas, as this is a full-time, hybrid HR Payroll Specialist position.

Key Responsibilities:

  • Administer full-cycle payrolls for US and Contract employees (bi-weekly) for workforce of ~2,000 across multiple states using ADP Workforce Now.
  • Process various pay types, including salary, hourly, overtime, bonuses, and reimbursements.
  • Handle complex payroll components: garnishments, tax withholdings, deductions, benefits adjustments, and general pay edits.
  • Maintain and update employee payroll records (e.g., new hires, changes, terminations, withholdings) within ADP Workforce Now.
  • Research and resolve any payroll tax related matters i.e. Tax Notices, Employee inquiries, Management inquiries while utilizing ADP Smart Compliance and ADP Workforce Now.
  • Perform payroll tax registrations working with federal, state, and local agencies while utilizing ADP Smart Compliance.
  • Generate, customize, and analyze standard and ad-hoc payroll reports, such as labor cost tracking, Overtime, turnover, and reconciliation reports.
  • Act as a primary point of contact for employee payroll inquiries, troubleshooting issues, and providing education on pay and benefits.
  • Collaborate with 3rd Party Vendor, HR, Finance, and IT teams to ensure seamless data flow, policy compliance, GL integrations, and resolve discrepancies.
  • Stay current on multi-state payroll regulations and ensure payroll practices align with federal, state, and local legislation.
  • Assist auditors and support internal/external audits, including maintaining documentation and providing detailed payroll data as needed.
  • Support year-end payroll processing, including account reconciliation, closing tasks, and issuing year-end forms.


Required Qualifications:

  • Bachelor's degree in Accounting, Finance, or a related field.
  • Minimum 5 of payroll administration experience, preferably with ADP Workforce Now in a multi-state environment.
  • Strong knowledge of payroll tax regulations and compliance.
  • Proficient in generating and interpreting payroll reports.
  • Familiarity with Audit and year-end payroll processes.
  • Analytical mindset, detail orientation, strong organizational skills, and ability to meet tight payroll deadlines.
  • Great communication and interpersonal skills able to assist employees and collaborate with cross-functional partners effectively.
  • High discretion and integrity when handling sensitive payroll data.
  • Advanced computer proficiency Excel skills (e.g., VLOOKUP) preferred
  • Minimum 2 years of experience with ADP Time & Attendance modules.
  • Experience with payroll software such as ADP Workforce Now, Paycom, Ultipro or PeopleSoft.


Preferred Qualifications:

  • Bilingual in English and Spanish
  • Certification in payroll management (e.g., CPP or FPC).
  • Experience with International processing
  • Familiarity with healthcare industry payroll practices.


Physical Requirements:

  • Ability to sit or stand for extended periods of time.
  • Must be able to lift 15 pounds at times.
