Job Description:
Pay Range: $55.48hr - $60.48hr
  • This role provides critical interview scheduling and administrative support to multiple business partners in a fast-paced, collaborative environment.
  • The position supports recruiting operations while ensuring a positive candidate and visitor experience.
  • The individual will work closely with internal teams, candidates, and vendors to ensure smooth coordination of interviews, site visits, and operational activities.
Responsibilities:
  • Provide interview scheduling support for multiple business areas in compliance with recruiting practices.
  • Coordinate interview schedules and candidate site visits.
  • Track and document applicants through the applicant tracking system.
  • Communicate with applicants regarding schedules, itineraries, and questions.
  • Prepare and send interview itineraries and correspondence.
  • Maintain applicant documentation in accordance with record retention guidelines.
  • Answer incoming phone calls and route requests appropriately.
  • Utilize Workday, Microsoft Outlook, Teams, Word, and Excel for scheduling and documentation.
  • Assist with calendar management and scheduling coordination.
  • Serve as back-up support for administrative and operations personnel.
  • Support operations with special projects as assigned.
  • Ensure interview logistics run smoothly, including conference room readiness and day-of coordination.
  • Greet and assist visitors and candidates, including visitor registration and parking coordination.
  • Maintain organized office and common areas, including supplies and snacks.
  • Provide front-desk support by monitoring reception communications and managing meeting room calendars.
  • Assist with on-site meetings and company events.
  • Follow Good Staffing Practices and confidentiality guidelines.
Experience:
  • 5 7 years of interview scheduling experience required.
  • Prior customer-facing or administrative support experience preferred.
Skills:
  • Excellent written and verbal communication skills.
  • Strong attention to detail and proofreading ability.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Teams, and SharePoint.
  • Familiarity with scheduling and applicant tracking systems such as Workday.
  • Strong organizational, prioritization, and multi-tasking skills.
  • Ability to work independently with high attention to quality and follow-through.
  • Ability to maintain confidentiality and exercise discretion.
  • Ability to adapt to change and process improvements.
Qualification And Education:
  • College degree required.
