Job Description:

Pay Range: $54.37hr - $59.37hr

The Executive Administrative Partner will provide high-level administrative and operational support to senior leadership and cross-functional teams.
This role requires a proactive, detail-oriented individual capable of managing complex schedules, communications, event coordination, and cross-departmental collaboration.
The ideal candidate is organized, resourceful, and demonstrates sound judgment while maintaining confidentiality and professionalism.

Responsibilities:

Administrative:

Provide administrative partnership to assigned leaders, including calendaring, communications, and meeting coordination.
Manage leader scheduling and interactions with internal and external stakeholders with discretion and efficiency.
Plan, schedule, and coordinate team and leadership meetings.
Act as the primary point of contact for administrative inquiries and ensure compliance with company policies.
Maintain document repositories, distribution lists, and key team resources.
Participate in special projects and team initiatives as assigned.

Communications:

Draft and prepare clear, concise, and effective communications for leadership.
Present ideas and updates confidently to leadership teams.
Collaborate with stakeholders to track, manage, and support communication initiatives.
Gather and incorporate feedback for communications and surveys.

Collaboration:

Build and leverage strong relationships across the organization to drive effective engagement.
Work closely with leadership and partners to plan and execute impactful meetings and presentations.
Demonstrate excellent planning, project management, and follow-up skills.

Operations:

Support operational activities, including agenda coordination, information gathering, and internal communications.
Document meeting notes and feedback, developing summaries and presentation materials.
Track timelines, milestones, and key deliverables.
Partner with HR, IT, Procurement, Finance, and other teams for business operations and troubleshooting.

Internal Event Planning And Execution:

Manage logistics for internal meetings and events, including sourcing, contracting, registration, and budgeting.
Coordinate employee engagement and team-building events.
Support internal travel, offsite meetings, and leadership engagements.

External Event Coordination:

Partner with external administrative teams to coordinate customer and community events.
Organize charitable or community outreach programs.
Manage contracts or funding requests related to team events and activities.
3 5 years of administrative experience supporting senior management, preferably in biotechnology or pharmaceuticals.
Experience handling confidential information with discretion.
Strong organizational, planning, and multitasking abilities.
Proficiency with Google Workspace (gMail, gCal, gSheets, gSlides, gMeet).
Bachelor s degree or equivalent industry experience.
Willingness to travel occasionally for business meetings.
