Summary

IT Vendor & Contract Coordinator

Pay: $32/hour

Employment Type: Contract to full time hire

Location Hybrid onsite (3x per week) in

Position Overview

Responsible for providing assistance with the acquisition, negotiation, and renewal functions related to IT vendor contracts. Registers vendors for IT contracts and manages databases supporting IT vendor agreements and department workflows.

Key Responsibilities

35% – IT Vendor Contracts & Database Management

Assist with the acquisition, negotiation, and renewal of IT vendor contracts.
Review, analyze, and create hierarchy for IT vendor agreements.
Maintain and update IT vendor databases in support of department workflow and projects.

35% – Quality Review

Perform quality reviews of databases to ensure agreements are entered correctly.
Work with staff to correct issues and advise on proper protocols.

10% – Training & Process Documentation

Train and assist new employees on database processes and procedures.
Create work instructions, procedures, and standards for databases.

10% – Vendor Registration & IT Payables

Request vendor registrations from new and established vendors.
Assist IT Payables with finalizing required documentation.

10% – Reporting

Create, review, maintain, and complete various reports for management.

Day-to-Day Responsibilities

Manage key vendor and contract activities, including requesting vendor registrations and assisting IT Payables with required documentation.
Support renewal activities for critical IT vendor contracts.
Review and analyze reports for senior leadership.
Collaborate closely with the Chief Negotiator, IS Negotiation team, and key vendors.
Maintain and update IT vendor databases to ensure accurate workflow and support department projects.

Required Experience

4 years of project coordination or other related work experience.
Vendor Management experience.
Experience communicating with executive-level management.

Preferred Experience

4 years of project coordination or related experience, including 2 years of paralegal, legal assistant, or contracts experience.
Project Management experience is a plus.
