Software Guidance & Assistance, Inc., (SGA), is searching for a Community Program & Operations Coordinator for a contract assignment with one of our premier SaaS clients in San Francisco, CA. This is a hybrid role with 2-3 days per week onsite.
We're seeking a highly organized, collaborative Community Program & Operations Coordinator to support the Acrobat Ambassador program and help deliver an engaging, well-run experience for our community. You'll manage day-to-day program operations while supporting Ambassador engagement, communications, events, and cross-functional initiatives that keep the community connected and active.
This is a highly administrative, cross-functional role, working closely with Ambassadors and teams across Adobe, including Community, PR, PMM, PM, Research, and Evangelism, to create a high-touch community experience that delivers value for Ambassadors while supporting priorities and opportunities across the broader organization.
Responsibilities:
- Ambassador Engagement & Support
- Create and manage a steady cadence of Ambassador engagement activities through the Community Hub, including surveys, social sharing opportunities, and other activities, in collaboration with internal teams.
- Re-engage lapsed Ambassadors through 1:1 outreach, identifying relevant opportunities to bring them back into the program.
- Facilitate new Ambassador onboarding and offboarding, including coordinating promo codes, access, resources, and other program needs.
- Serve as a go-to resource for Ambassador support, helping address product questions and issues and acting as a liaison between Ambassadors and Product teams to ensure feedback and bugs are routed to the right partners.
- Keep Ambassadors informed and engaged through timely program communications, including product launch updates, resources, and monthly newsletters featuring program news, opportunities, and upcoming activities.
- Coordinate monthly Acrobat Office Hours, Community Coffee Chats, product demos, and other community sessions, managing communications, calendar invites, and logistics.
- Program Operations & Coordination
- Manage Airtable systems and day-to-day operational tracking for the Ambassador program and broader Acrobat Community team, ensuring program information and records remain accurate and up to date.
- Track program budgets and spending in Airtable, maintaining accurate records and flagging when additional POs need to be opened.
- Manage Ambassador payment and rewards operations, coordinating invoice processing, maintaining accurate payment records, following up on outstanding project reporting and invoices, resolving payment issues, and managing point-earning activities and rewards in the Ambassador Hub.
- Support beta testing and larger research efforts by coordinating Ambassador participation with Research partners.
- Manage ambassador event logistics, including swag ordering, shipping, vendor coordination, and timeline management.
- Manage the Ambassador experience at Adobe MAX, coordinating day-to-day communications, logistics, resources, and deliverables to ensure Ambassadors are supported and prepared throughout the event, with clear tracking and post-event reporting.
- Reporting & Program Health
- Track Ambassador participation across key initiatives, including events, social, research, and PR, and translate program data into clear, up-to-date reporting for cross-functional teams, internal decks, and quarterly newsletters.
- Partner with the Program Lead to monitor progress against quarterly goals, identify gaps and opportunities, and maintain alignment across teams and initiatives.
Required Skills:
- Experience in community management, program coordination, operations, or a similar role supporting an active community or program.
- Strong organizational and project management skills, with the ability to manage multiple workstreams, deadlines, and details simultaneously.
- Strong proficiency in or similar tools (i.e Monday, Notion, Asana), including managing program data, maintaining trackers, and creating reporting that provides visibility into program health and performance.
- Excellent written and verbal communication skills, with the ability to engage community members and collaborate effectively with cross-functional teams and external partners.
- A proactive, resourceful approach to problem-solving, with the ability to work independently, follow through on open items, and resolve day-to-day operational issues.
- Proficiency with collaboration and productivity tools such as Slack, Excel, PowerPoint, Outlook, and Teams; familiarity with Adobe Acrobat and other Adobe products is a plus.
