Description
Our client is seeking a highly organized and professional Administrative Assistant II to provide onsite support for staff. This role supports administrative operations, purchasing, travel coordination, facility support, meetings, workshops, and office management activities. This role will be onsite, part time on Tuesdays, Wednesdays and Thursdays.
The ideal candidate will possess strong organizational skills, excellent communication abilities, and experience supporting multiple stakeholders in a fast-paced environment. This is an onsite role requiring a professional demeanor and the ability to exercise sound judgment while handling administrative responsibilities.
Responsibilities
Administrative Support & Procurement
Process and track purchases using organizational procurement systems.
Obtain and manage vendor quotes as needed.
Track shipments and ensure timely receipt of goods.
Coordinate office, facility, and janitorial supply ordering and inventory.
Maintain office phone directories and office signage.
Ensure purchasing activities comply with organizational policies and procedures.
Travel Coordination
Manage domestic and international travel arrangements.
Prepare travel authorizations and expense documentation.
Coordinate airfare, hotels, rental cars, and travel logistics.
Track travel-related funding and compliance requirements.
Maintain travel records and support reimbursement processing.
Meetings, Workshops & Office Operations
Coordinate onsite meetings, workshops, and events.
Provide administrative support for staff and visitors.
Maintain calendars, meeting room schedules, and facility tours.
Assist with meeting logistics, communications, and documentation.
Record meeting minutes when required.
Support property tracking, audits, and record management activities.
Administrative Coordination
Communicate organizational announcements, deadlines, and updates.
Support operational processes and administrative procedures.
Maintain accurate records and documentation.
Provide backup support to the broader administrative team as needed.
Required
High school diploma or equivalent.
Minimum two (2) years of administrative support experience.
Proficiency with Google Workspace.
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
Ability to exercise discretion with confidential information.
Strong interpersonal skills with the ability to support diverse teams.
Basic mathematical skills including percentages and decimals.
Ability to work independently and collaboratively.
Preferred
Experience with Concur, Workday, UProcure, or similar systems.
Knowledge of purchasing and travel administration.
Experience supporting technical or research organizations.
Familiarity with facilities operations or property management.

Pay and Benefits
The pay range for this position is $22.00 - $25.00/hr.
