Title: Training Coordinator
W2 Contract-to-Hire: 12 Months
Location: Primarily remote
- Occasional on-site visits to Reston, VA (OR) Medical Square - Approximately 4 - 5 times per quarter
Overview:
Work with a leading enterprise health solutions organization supporting the Federal Employee Program Operations Center (FEPOC) Learning & Development team. The Training Coordinator serves as the central operational and analytical backbone for all internal professional development initiatives and external training requests. This role manages vendor procurement, financial logistics tracking, PeopleSoft ELM administration, L&D metrics, and on-site event execution.
Key Responsibilities:
Serve as primary owner for all internal associate professional development and external training requests from initial intake to ticket closeout.
Review, validate, and manage training request tickets, ensuring proper documentation, manager approvals, funding sources, and business certifications are met.
Coordinate with internal departments (Procurement, Finance, Accounts Payable, Vendor Management) and external vendors (e.g., Learning Tree, PMI) to establish vendors, submit invoices, and monitor payment statuses.
Administer PeopleSoft ELM and related learning systems, including creating course shells, managing enrollments, tracking attendance, maintaining accurate training records, and ensuring audit readiness.
Support core L&D initiatives, such as the Onboarding Essentials program and enterprise-sponsored learning sessions.
Maintain L&D Executive Dashboards, scorecards, and operational metrics to track month-to-month budget spend, participation rates, and learning trends for leadership.
Serve as the primary on-site logistics contact for L&D events at FEPOC facilities (Reston or Med Square), handling room setup, facilitator support, and vendor reception.
Continuous improvement: Maintain and update Standard Operating Procedures (SOPs), job aids, FAQs, and training documentation.
Required Qualifications:
Proven experience in a Training Coordinator, Learning Operations, or Business Operations support role.
Intermediate to advanced proficiency with Microsoft Office 365, particularly Excel (pivot tables, VLOOKUPs, data formatting, report generation).
Background in managing vendor logistics, invoice tracking, or professional development intake processes.
Excellent written and verbal communication skills with a high degree of professional business etiquette.
Ability to work in a hybrid model and travel to Reston, VA or Med Square facilities as needed (estimated 4 5 days per quarter).
Preferred Qualifications:
Experience administering Learning Management Systems (LMS), specifically PeopleSoft ELM.
Demonstrated ability to synthesize operational data into executive-level reporting or scorecards.
Prior exposure to corporate procurement, accounts payable coordination, or ticketing workflows.
