Summary

Job Summary

The Project Coordinator will support the planning, organization, and execution of project activities while ensuring effective communication, coordination, documentation, and reporting. This role will work closely with project managers and internal stakeholders to ensure project objectives and deliverables are successfully met.

Key Responsibilities

Coordinate meetings, prepare agendas, take meeting minutes, and track follow-up actions.
Develop and maintain project schedules, responsibility lists, and project documentation.
Organize and maintain project records, including purchase orders, budgets, contracts, and other documentation.
Work closely with Project Managers and internal stakeholders to track project progress and deliverables.
Track and report Financial Planning and Continuing Education (CE) course and exam completions/failures using third-party vendor systems and ServiceNow.
Communicate course and exam completion/failure status to individuals and provide guidance on required next steps.
Ensure individuals have appropriate access to required training and exams.
Respond to service requests and provide support for training-related questions and issues.
Track the status of legal reviews for training materials and assist with clearing the existing backlog.
Prepare summaries, reports, presentations, and other project-related materials as needed.

Required Qualifications

Experience in project coordination, financial planning, training administration, operations, or a related field.
Extreme attention to detail with a strong focus on data accuracy and reporting.
Excellent customer service and communication skills.
Strong ability to multitask and manage competing priorities.
Strong critical-thinking and problem-solving skills.
Ability to communicate clearly and accurately with various internal stakeholders.
Ability to work independently and proactively identify solutions.
Strong judgment regarding when to resolve issues independently and when to escalate.
Strong Microsoft Excel skills, particularly for data management, tracking, reporting, and maintaining databases.
Experience with ServiceNow is highly preferred.
Proficiency with Microsoft Office, including Excel, PowerPoint, and Word.
Experience with financial planning, training/course tracking, compliance, or examination processes is a plus.
