Kforce has a client that is seeking a Lead Project Coordinator in Dublin, CA (Hybrid).
Overview:
Our client is seeking an experienced Lead Project Coordinator to oversee retail fixture installation projects from planning through execution. This role is ideal for a highly organized, execution-focused professional who thrives in fast-paced environments and can successfully manage multiple projects simultaneously while ensuring quality, speed, and risk mitigation. The Lead Project Coordinator will act as the central point of coordination between vendors, installers, construction teams, and internal stakeholders to ensure store installations are completed on time, within scope, and to the highest standards.
Key Responsibilities:
* Manage multiple retail store fixture installations concurrently (up to four active projects at peak periods)
* Coordinate end-to-end execution of installation projects, ensuring timelines, quality standards, and project objectives are met
* Monitor project progress, track material shortages, identify risks, and proactively escalate issues as needed
* Manage and resolve punch list items to ensure successful project completion
* Partner closely with vendors, installers, construction teams, and internal business partners to drive seamless execution
* Conduct site validations through video calls and occasional on-site visits to verify installation quality and progress
* Prepare and deliver weekly project status updates, reporting on milestones, risks, and overall project health
* Support after-hours and overnight work when installation schedules require additional project oversight
* Maintain detailed project records, documentation, and communications throughout the project lifecycle
REQUIREMENTS:
* Proven experience coordinating and executing multiple concurrent projects in a fast-paced environment
* Experience leveraging video conferencing platforms to oversee remote project execution and conduct site validations
* Strong verbal and written communication skills, with the confidence to proactively drive discussions, escalate risks, and influence outcomes
* Highly detail-oriented with the ability to track project dependencies, material shortages, risks, action items, and punch lists
* Comfortable adapting to changing business priorities, fluctuating workloads, and occasional after-hours meetings or support needs
* Self-directed and capable of operating autonomously with minimal oversight while maintaining accountability for project outcomes
* Proficiency in Microsoft Excel and Smartsheet (basic to intermediate level)
* Demonstrated ability to effectively manage and collaborate with vendors, contractors, and cross-functional stakeholders
Preferred Qualifications:
* Experience supporting retail store operations, fixture installations, store remodels, construction projects, or large-scale rollout initiatives
* Exposure to construction coordination, store build-outs, or field-based project execution
* Familiarity with Smartsheet for project tracking and reporting (preferred but not required)
* Working knowledge of budget tracking, forecasting, and project financial management
* Exposure to AutoCAD or related planning tools is beneficial but not required; Transferable planning and space management experience will be considered
* Experience working within retail, construction, facilities, or store development environments is highly preferred

* High-quality project execution with accurate and timely status reporting
The pay range is the lowest to highest compensation we reasonably in good faith believe we would pay at posting for this role. We may ultimately pay more or less than this range. Employee pay is based on factors like relevant education, qualifications, certifications, experience, skills, seniority, location, performance, union contract and business needs. This range may be modified in the future.
We offer comprehensive benefits including medical/dental/vision insurance, HSA, FSA, 401(k), and life, disability & ADD insurance to eligible employees. Salaried personnel receive paid time off. Hourly employees are not eligible for paid time off unless required by law. Hourly employees on a Service Contract Act project are eligible for paid sick leave.
