JOB SUMMARY
Responsible for the procurement, tracking, and financial oversight of IT hardware and software assets across a large academic medical center. Manages the full asset lifecycle, ensures accurate inventory and license compliance, supports chargeback and billing reconciliation, and maintains adherence to internal controls, vendor contracts, and regulatory requirements. Leads asset operations and reporting, identifies gaps in asset governance, and drives process improvements to enhance accuracy, efficiency, and compliance across IT asset management. This position is eligible for a hybrid work schedule.

EXPERIENCE AND EDUCATION

Required

• Education
  High School Diploma or equivalent

• Experience
  2 years of experience in IT asset management.
  Experience with ERP or asset management systems (e.g., ServiceNow, PeopleSoft, Oracle, or Excel).

Preferred

• Education
  Associate's Degree in Business, Accounting, Information Technology, or related field or
  Bachelor's Degree in Business, Accounting, Information Technology, or related field

• Experience
  Understanding of basic Public Cloud (Azure, AWS, Google Cloud Platform) Billing concepts is a plus.
  Experience with Microsoft software license is a plus.
  Experience with software license tracking and ITIL processes is a plus.

• Licenses and Certifications
  ITIL Foundation
  CompTIA A+ or similar IT support certification

JOB DUTIES

• Key Responsibilities:
  • Manages asset lifecycles, aligning technology with business goals, and leading an ITAM team to ensure efficiency, compliance, and cost control across the organization.
  • Key responsibilities include managing operations related to IT assets, leading teams in asset tracking and reporting, and overseeing compliance with licensing and regulatory requirements.
  • Maintaining supplier records, service level agreements, and software license information/updates.
  • The IR Asset specialist will collaborate with the billing team to ensure accurate reconciliation of assets to billing and chargeback models.
  • Monitor depot and deploy vendor?s quality of service.
• Asset Management
  • Maintain a centralized inventory of all IT hardware and software assets.
  • Track the lifecycle of IT assets from procurement through retirement.
  • Ensure compliance with software licensing agreements and IT asset policies.
  • Coordinate with procurement and IT teams to receive, tag, and deploy assets.
  • Conduct periodic physical audits of IT equipment and reconcile with inventory records.
• Compliance & Documentation
  • Ensure compliance with internal policies and external regulatory requirements related to IT assets and billing management.
  • Maintain detailed documentation of billing, contracts, and asset records.
  • Support internal or external audits by providing necessary documentation and reports.
• Performs other duties as assigned.
