Job Description
PURPOSE:
The Americas HR Coordinator serves as a critical support partner to the Americas HR organization, ensuring efficient execution of administrative, operational, and reporting activities. This role facilitates seamless collaboration across HR Leadership, Projects & Planning, Operations, Talent Development, and Talent Acquisition teams by managing key processes such as invoice coordination, reporting cycles, HR leader onboarding, talent program administration, and scheduling for major HR events. By maintaining organized workflows and delivering timely support, the Coordinator contributes to the overall effectiveness and success of HR initiatives throughout the region.
POSITION RESPONSIBILITIES:
Provide administrative support to HR leadership, including travel coordination, expense reporting, scheduling meetings, coordinating HR team recognition gifts (thank you, congratulatory, milestone) and preparing HR Town Hall & Activating Our Purpose (AOP) Learning Series presentations and meeting logistics
Manage HR specific tasks for invoice processing and billbacks, including Legal billing, special project billing, contractor/taskforce billing, translation vendors, ComPsych billing, and First Aid billing.
Maintain and update the HR Leader workflow, including system ticket setup for new HR leaders, HRD movement updates, weekly HRD Movement email, and various support structure spreadsheets to ensure a seamless onboarding process for new, transferring and exiting HR leaders.
Coordinate twice-yearly HRD Orientation sessions, including scheduling, communication, and material coordination.
Assist with Communication to include Check-In channel posting, monthly reporting cycles, and coordinating content calendar.
Compile, create, and distribute Talent Development reports including Individual Development Plans, Mid-Year/EOY Check-Ins, Global Compliance training, and training participation (Elevate, LEAD, etc.).
Maintain Talent Development databases including GM Development Program participants and GM Pipeline.
Support GM Development Program logistics (room booking, material preparation, participant communication) and manage surveys, results, and leadership assessment administration.
Provide Talent Acquisition support including reporting and tracking for Talent Acquisition Opt-In Program and University programs.
Prioritize daily workflow independently, provide process-improvement recommendations, and escalate decisions involving policy, risk, or financial impact outside defined guidelines.
EXPERIENCE AND QUALIFICATIONS:
2 4 years of experience in HR coordination, administrative support, operations, or related role.
Experience with invoice processing, reporting, scheduling, or program coordination preferred.
Experience working in a fast-paced HR environment supporting multiple leaders.
Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook).
Experience with HR systems preferred.
Strong organizational and time management skills; high attention to detail.
Ability to manage confidential information with discretion.
EDUCATION:
High school diploma required; college degree preferred.
