Role Overview
We are seeking a Program Manager to work directly with the Client (COO) to lead modernization efforts across the Procurement and Contracting Services (PCS) and System Support Services (SSS) divisions. This role drives process improvements, implements automation, and leverages AI tools to streamline complex workflows.
The Program Manager acts as a bridge between teams, fostering collaboration, alignment, and consistent project execution. Success demands strong leadership, consensus-building, and the ability to create a nudge environment that encourages adoption of new practices and sustains momentum toward shared goals.
Key Responsibilities
- Lead Modernization Initiatives: Design and implement projects to simplify and automate tasks in PCS and SSS; integrate AI and automation tools for efficiency and accuracy.
- Drive Collaboration and Consensus: Facilitate cross-division communication, build stakeholder trust, and ensure smooth implementation.
- Create a Nudge Environment: Apply behavioral strategies to promote process adoption, continuous improvement, and team accountability.
- Ensure Consistent Project Planning: Develop actionable plans with measurable milestones; monitor progress and adapt strategies to meet deadlines and standards.
- Measure Success and Quality: Track metrics like stakeholder satisfaction, cycle time reduction, and compliance; report to leadership with improvement recommendations.
- Cross-Divisional Project Leadership: Lead AI/automation projects spanning business units, aligning with strategic and operational goals.
- Standardization & Process Improvement: Promote standardized PM practices (e.g., charters, schedules, risk logs); analyze and automate processes.
- Stakeholder Collaboration & Communication: Facilitate IT/operations/strategy alignment; develop AI tool adoption strategies.
- Compliance & Governance: Ensure adherence to data governance, security, and ethical AI standards.
- Reporting & Accountability: Deliver progress reports to COO/Senior Advisor; maintain on-time delivery with thoughtful approaches.
- Team Leadership & Mentorship: Oversee and mentor interns/early-career professionals for growth.
Qualifications & Minimum Requirements
Core Qualifications:
- Proven experience managing complex projects in large organizations.
- Strong consensus-building, stakeholder engagement, and change management skills.
- Familiarity with AI, automation tools, and methodologies like Lean Six Sigma.
- Excellent communication, facilitation, and multi-division priority management.
Required Experience (8+ Years Each):
- IT program management, including verbal/written communication and concise project documentation.
- Managing complex projects with multi-year budgets of $10M+.
- Microsoft Project, Office, and Visio.
- Multiple competing priorities, conflict management, and facilitation.
- AI, automation tools, and process improvement (e.g., Lean Six Sigma).
- PMO standards, stage-gate reviews, and executive reporting.
- Translating strategy into actionable program plans.
- Presenting technical concepts in business language.
Preferred Experience (5+ Years Each):
- Communicating with senior leaders/executives.
- Negotiation/influence across IT, business, and partners.
- Operating in ambiguofast-changing environments.
- Data-driven reporting and KPI development.
- Dashboards for executives (e.g., PowerBI, Tableau).
- Supporting C-suite/executive sponsors.
