We are seeking a skilled AP Automation Consultant to lead our clients through a comprehensive transformation of their accounts payable workflows, delivering efficiency, accuracy, and compliance.
Position Overview:
As an AP Automation Consultant, you will assess existing AP processes, identify manual pain points, and design tailored automation strategies. Your expertise will help organizations optimize invoice processing, approvals, payments, and reporting—leveraging the latest automation tools and best practices. This is a 4-6 month engagement designed to drive measurable improvements in operational efficiency and compliance.
Key Responsibilities:
- Process Assessment & Workflow Review
- Analyze current AP workflows, including invoice receipt, validation, approval, and payment processes.
- Identify manual bottlenecks, errors, and areas for automation.
- Define Automation Objectives
- Collaborate with stakeholders to establish clear automation goals such as reducing manual data entry, accelerating invoice processing times, and enhancing compliance.
- Leverage Fusion Capabilities
- Recommend and implement advanced features like invoice imaging, workflow approvals, supplier self-service portals, and seamless integration with expense management systems.
- Explore innovative solutions such as automating expense reimbursements through AP.
- Align with Industry Best Practices
- Identify and support the implementation of best practices, including invoice-to-payment cycles, vendor management, and compliance standards.
- Solution Design & Implementation Support
- Develop a detailed automation roadmap, including required systems and process modifications.
- Facilitate integration between On-base (invoice imaging and approval workflow system) and Fusion to streamline invoice data entry and processing.
- Recommend automation tools for data extraction, validation, and matching invoices to purchase orders or contracts.
- Establish standardized workflow approval procedures to ensure consistency.
- Assist in automating payment processing through integrated payment methods, reducing manual intervention.
- Data Management & Reporting
- Define and facilitate automated reconciliation, reporting, and analytics for payments and invoice processing.
- Support manual or automated reconciliation processes to ensure data accuracy and compliance.
- Exception & Error Handling
- Develop protocols for flagging and reviewing unmatched or suspicious invoices to prevent errors and fraud.
- Engagement Duration & Planning:
- Scope includes a detailed plan and criteria to complete the automation initiatives within 4-6 months.
- Assumptions:
- Invoices are collected via email, supplier portals, or imaging solutions.
- Data flows between On-base and Fusion are optimized through system integration.
- Manual data entry is minimized through automation tools and system configurations.
Qualifications:
- Proven experience with AP automation projects, including invoice processing, workflow design, and systems integration.
- Strong knowledge of Fusion and On-base or similar AP automation platforms.
- Expertise in automated data extraction, validation, and matching technologies.
- Familiarity with ERP systems, payment processing, and compliance standards.
- Excellent analytical, problem-solving, and stakeholder management skills.
- Ability to guide clients through change management and process optimization.
