Key Responsibilities:

• Lead and coordinate requirements elicitation activities for the Solicitation Review System by conducting stakeholder interviews, facilitated workshops, document reviews, and system walkthroughs with Compliance and Quality Control (CQC) staff.
• Analyze and document the current-state system architecture, including Microsoft Forms, PowerAutomate workflows, Excel-based data storage, and Power BI reporting, to establish a complete baseline understanding of existing functionality.
• Develop process maps and workflow diagrams that clearly illustrate end-to-end business processes, system interactions, user roles, approvals, notifications, and automated actions within the current system.
• Perform gap analysis comparing current-state functionality with future-state requirements to identify missing capabilities, process inefficiencies, compliance gaps, and opportunities for system improvement.
• Elicit, document, and maintain functional and business requirements for the redesigned Jotform-based system, ensuring requirements are clear, complete, traceable, and aligned with business and regulatory needs.
• Create and maintain a Requirements Traceability Matrix (RTM) linking business needs to functional requirements, test cases, and validation outcomes throughout the project lifecycle.
• Define detailed workflow logic requirements, including form branching, validation rules, conditional logic, email triggers, notification timing, approvals, and PDF generation specifications.
• Document data capture, data mapping, and data transformation requirements, including alignment rules for integrating historical Excel-based data with new Jotform submissions for unified reporting.
• Collaborate closely with the Senior Systems Advisor to support system design and development, clarify requirements, review configurations, and ensure implemented functionality adheres to approved requirements.
• Support the redesign of Power BI reporting by defining KPIs, metrics, filters, drill-downs, and business rules required to meet Compliance and Quality Control reporting needs.
• Develop and maintain requirements documentation packages, ensuring version control, stakeholder review, approvals, and continuous updates as requirements evolve.
• Plan and support testing and validation activities, including creation of master test plans, test cases, test scripts, and execution support for User Acceptance Testing (UAT).
• Validate new and existing system functionality against documented requirements, identify defects or gaps, and coordinate issue resolution with technical stakeholders.
• Maintain a requirements change log, documenting new, modified, deferred, or removed requirements along with stakeholder approvals and impact analysis.
• Prepare and deliver weekly status reports to leadership, outlining progress against milestones, risks, issues, dependencies, and upcoming activities.
• Identify and communicate project risks, assumptions, and dependencies, recommending mitigation strategies to ensure timely and compliant system delivery.
• Develop end-user documentation and user manuals for all system roles, ensuring clarity, usability, and compliance with operational processes.
• Provide ongoing stakeholder communication and support, building trust across technical and business teams and ensuring alignment throughout the project lifecycle.

Required skills:

• 5+ years of Business analysis experience, including requirements elicitation and documentation, gap analysis, and testing.
