Office Services Coordinator

Job Summary

We are seeking an Office Experience Associate to manage daily front-of-office operations and ensure a welcoming, professional experience for employees, clients, and visitors. This role serves as the primary point of contact at the office arrival area and supports workplace services, hospitality coordination, and meeting space readiness. The ideal candidate has prior office or workplace experience and thrives in a fast-paced, service-oriented corporate environment.

Key Interactions

Works closely with office operations leadership, workplace services teams, facilities partners, and cross-functional team members to ensure consistent delivery of front-office and workplace services.

Key Responsibilities

• Serve as the first point of contact by professionally welcoming and directing visitors

• Manage incoming calls, messages, and general inquiries in a prompt and courteous manner

• Maintain the office arrival area and support surrounding lobby and common areas

• Track service requests and workflows using internal service management tools

• Coordinate visitor access, guest lists, and related documentation in accordance with office protocols

• Ensure continuous coverage of the front desk by collaborating with backup team members

• Support office-wide initiatives, special projects, and cross-functional tasks as assigned

• Partner with workplace and facilities teams to identify and resolve service-related issues

• Assist with meeting room and workspace reservations, setup, and troubleshooting

• Support meeting services including room configuration, supply setup, and basic audio-visual assistance

• Accept and verify catering deliveries; assist with setup and breakdown as required

• Prepare, reset, and maintain meeting rooms, collaboration spaces, and common areas

• Ensure spaces remain clean, organized, stocked, and ready for use throughout the day

• Generate routine operational reports to support daily office management

• Proactively identify issues and resolve them with a customer-first mindset

• Provide backup support across workplace service functions as needed

• Ability to lift and move items up to 50 pounds

Required Qualifications

• Minimum 2 years of experience in an office, workplace services, or hospitality environment

• Prior experience in office experience, front desk, workplace services, or guest services strongly preferred

• Strong customer service orientation with a professional and welcoming presence

• Ability to remain composed and effective in a fast-paced environment

• Excellent verbal and written communication skills

• Comfortable working both independently and collaboratively in a team setting

• Flexibility to work varying schedules and occasional overtime as needed

• Proficiency with Microsoft Office applications (Outlook, Word, Excel)

• Willingness to take on additional duties and special projects as required
