Job Title: Sr. Document Control Specialist
San Jose, CA - Hybrid (minimum of 3 days onsite required)
Position Overview
We are seeking a Senior Document Control Specialist to support a large-scale infrastructure project. You will be responsible for the operational management of the project’s document control systems, ensuring data integrity, and facilitating the exchange of critical project communications.
Key Responsibilities
System Management: Support the management of the project's Electronic Document Management System (EDMS), specifically Oracle Aconex and legacy systems (SharePoint), including high-level data migrations.
QA/QC: Provide document control quality assurance and quality control for all project documents and formal communications.
Process Improvement: Collaborate with IT teams to define business requirements for system enhancements and validate functionality and data integrity.
Information Repositories: Maintain project records and communications within the Document Register and SharePoint Record Center libraries, overseeing records acquisition and retention.
Workflow Coordination: Manage the automated exchange of documents, transmittals, and submittals via electronic workflows between the owner team, contractors, and third-party participants.
Training & Compliance: Provide end-user training to program teams and contractors on workflows (RFIs, change procedures, etc.) and enforce adherence to document control policies and standards.
Qualifications & Experience
Education: A bachelor's degree with 5–7 years of related experience OR a high school diploma with 7–10 years of related experience.
Recency: Experience must have been obtained within the past five (5) years.
Industry: Extensive experience in document control within large capital programs, engineering, or construction environments is highly preferred.
Preferred Technical Skills
Software: Proficiency with Oracle Aconex (required), SharePoint, and other EDMS tools like Documentum or Hummingbird.
Expertise: Strong understanding of the document lifecycle, records retention, and industry compliance standards.
Communication: Excellent organizational skills with the ability to collaborate with multidisciplinary teams.
