The Maintenance Coordinator plays a vital role in supporting the daily operations of the maintenance team by managing both coordination and administrative tasks. This position acts as a key liaison between maintenance staff, property management, clients, and tenants to ensure efficient, cost-effective, and compliant maintenance workflows. Strong organizational skills and effective communication are essential to maintaining smooth operations and timely task completion.

  • Coordination: Schedule and track maintenance tasks, manage technician calendars, ensure availability of tools and materials, and coordinate with vendors and service providers.
  • Administrative Tasks: Maintain accurate maintenance records, input and analyze work orders using software, manage inventory and procurement, track expenses, generate reports, and handle invoice processing.
  • Communication & Support: Serve as liaison between maintenance team, property management, clients, and tenants; provide updates; assist supervisors with planning and compliance; and participate in improvement meetings.
  • Key Performance Expectations: Ensure timely entry and completion of work orders, maintain up-to-date technician schedules, track and report maintenance KPIs, support billing and efficiency targets, and uphold safety and compliance standards.

Qualifications

  • Associate degree required; bachelor's degree preferred or equivalent experience
  • Proficiency with maintenance management software (e.g., AppFolio, CMMS) and Microsoft Excel
  • Experience in maintenance coordination and administrative roles preferred
  • Familiarity with maintenance workflows and facility systems (HVAC, plumbing, electrical) a plus
  • Valid driver's license and reliable transportation
