Job Title: Executive Assistant
Job Location: Montreal, QC
Job Type: Contract
Job Overview:
  • Provide high-level administrative support to senior executives.
  • Serve as a gatekeeper for internal and external stakeholders.
  • Support Managing Directors reporting to senior executives.
  • Partner with the Chief of Staff/Chief Operating Officer for administrative coordination.
  • Manage complex calendars and schedules across multiple time zones.
  • Arrange domestic and international travel and manage expense claims.
  • Coordinate webcasts, video, and teleconferences as needed.
  • Plan and coordinate internal and external events, including Town Halls, team-building activities, and staff events.
  • Manage agenda and logistics for VIP visitors.
  • Prepare, modify, and distribute reports, invoices, and contracts.
  • Ensure timely approvals and signatures.
  • Assist with internal communications and coordinate with marketing communications when required.
  • Complete projects and tasks as requested by senior executives.
Requirement/Must Have:
  • 5 10 years of experience in an Executive Assistant role.
  • Excellent written and verbal communication skills.
  • Strong calendar management skills, including complex meeting coordination.
  • Strong organizational and relationship management skills.
  • Effective time management and prioritization abilities.
  • Proficiency with MS Office and digital tools.
  • Ability to manage confidential information with discretion.
  • Positive attitude and strong team player.
  • Ability to interact professionally with senior leaders.
Responsibilities:
  • Provide comprehensive executive support.
  • Coordinate and manage complex schedules and meetings.
  • Plan and execute corporate events and meetings.
  • Prepare and distribute reports and official communications.
  • Assist in travel arrangements and expense management.
  • Ensure compliance with approvals, documentation, and internal policies.
Skills:
  • Excellent organizational and planning skills.
  • Strong interpersonal and communication skills.
  • Ability to handle sensitive and confidential information.
  • Proficiency in digital productivity tools.
  • Effective multitasking and problem-solving skills.
Qualification And Education:
  • Undergraduate degree in a related business field.
  • Minimum of 2 years of relevant Executive Assistant experience; 5+ years preferred.
