The Temporary Legal Practice Assistant provides high-level administrative and litigation support to attorneys within a specialized practice group. This role is critical to maintaining efficient legal operations by ensuring accurate document preparation, managing case workflows, and supporting billing and client onboarding processes. The position plays a key role in meeting litigation deadlines and supporting attorneys in fast-paced, highly regulated practice areas.

Key Responsibilities

• Prepare, format, and proofread legal correspondence, pleadings, discovery, and other litigation documents under strict deadlines

• Organize, Bates stamp, index, and maintain electronic and physical case files in compliance with federal and local court rules, including electronic filing systems

• Set up and manage secure client collaboration spaces within the document management system

• Run conflict checks, prepare engagement letters, and open new client matters using the firm s onboarding systems

• Track deadlines, calendar court dates, mediations, arbitrations, and client meetings

• Manage attorney calendars and coordinate meetings and scheduling logistics

• Arrange attorney travel through the firm s corporate travel platform

• Prepare and submit expense reports

• Assist with billing processes, including attorney time entry and proforma review within the financial system

• Collaborate with other practice assistants to provide seamless administrative support across practice teams

• Adhere to firm policies, procedures, confidentiality standards, and compliance requirements

• Perform additional administrative and legal support duties as assigned

Minimum Education & Experience Requirements

• Minimum of 2 years of experience as a litigation practice assistant or legal secretary

• Prior experience supporting litigation matters in a law firm or professional services environment

• Experience supporting healthcare-related litigation, including FDA or biotechnology matters, strongly preferred

Special Requirements

• Ability to meet time-sensitive deadlines in a litigation environment

• Familiarity with electronic court filing systems and litigation workflows

Knowledge, Skills, and Abilities

• Strong proficiency in Microsoft Word, Outlook, Excel, and document management systems

• Working knowledge of legal billing platforms and time entry systems

• Excellent attention to detail and accuracy in document preparation

• Strong organizational and deadline-management skills

• Ability to manage multiple assignments simultaneously while supporting multiple attorneys

• Clear written and verbal communication skills

• Ability to maintain confidentiality and handle sensitive information appropriately

Additional Desired Characteristics

• Experience working with biotechnology, FDA, or regulated healthcare litigation matters

• Familiarity with collaboration tools and secure document-sharing platforms

• Prior experience in a mid-size to large law firm environment

Work Environment

• Contract role expected to last a minimum of 6 months

• Primarily office-based with standard business hours

• May require occasional flexibility to support litigation deadlines
