Location: San Francisco, CA — Onsite
Schedule: Monday–Friday, 8:30 AM–5:30 PM
Contract: 6-month W2 contract, with strong potential for extension
Pay Rate: $70–$80/hour
Additional Schedule Requirements: Some overtime and weekend work required during office moves


Russell Tobin is supporting a high-growth technology company in hiring an experienced Facilities Coordinator for its San Francisco headquarters.

This is a hands-on, onsite role for someone who thrives in a fast-paced environment and enjoys owning the behind-the-scenes work that keeps an office running smoothly. The ideal candidate has strong facilities and building operations experience, working knowledge of HVAC and other building systems, and experience coordinating office moves, restacks, and reconfigurations.


Responsibilities

  • Coordinate and manage vendors supporting day-to-day office operations and maintenance, including janitorial services, deliveries, office supplies, mechanical services, and other facilities needs.
  • Partner with the broader Facilities team to maintain a safe, functional, comfortable, and well-supported workplace environment.
  • Respond to facilities requests through an internal ticketing system within established service levels and provide clear, responsive customer service.
  • Troubleshoot and resolve workplace issues such as HVAC concerns, elevator outages, plumbing issues, appliance failures, lighting problems, and other building-related needs.
  • Perform minor repairs and maintenance tasks and coordinate appropriate vendors for more complex work.
  • Support emergency response activities in partnership with Security and assist with compliance related to local building requirements.
  • Own and coordinate the HVAC program for San Francisco office locations, including preventive maintenance, larger HVAC projects, and mechanical vendor relationships.
  • Lead office moves, restacks, and reconfigurations from seat planning through move execution.
  • Coordinate with internal stakeholders and site teams to ensure smooth move logistics and minimal disruption.
  • Set up furniture configurations for onsite meetings and events.
  • Perform workstation setups, including monitors, monitor arms, and ergonomic equipment.
  • Maintain and improve Standard Operating Procedures and facilities documentation.
  • Partner closely with People Operations, Security, vendors, and other internal teams.
  • Manage multiple competing priorities and adjust quickly as business and workplace needs change.


Qualifications

  • 4+ years of experience in facilities coordination, facilities operations, or building operations.
  • Working knowledge of building systems, including HVAC, elevators, plumbing, lighting, and general maintenance operations.
  • Experience coordinating or leading office moves, restacks, or workplace reconfigurations.
  • Experience supervising vendors, maintenance providers, and service partners.
  • Strong organizational and communication skills with the ability to manage multiple priorities at once.
  • Service-minded and solutions-oriented approach to workplace operations.
  • Comfortable working in a hands-on environment where no task is considered too small.
  • Ability to work onsite in San Francisco Monday–Friday, 8:30 AM–5:30 PM.
  • Ability to work occasional overtime and weekends during office moves.
  • Ability to lift up to 50 pounds.


Preferred Qualifications

  • Experience managing HVAC projects or preventive maintenance programs.
  • Experience leading moves or restacks in a multi-building, rapidly growing, or high-change environment.
  • Background in a technology company, startup, or other fast-paced corporate environment.
  • Experience with vendor management, hospitality, food and beverage services, or workplace experience programs.
  • Experience supporting permit, license, or inspection requirements.
  • Strong judgment, adaptability, and willingness to wear multiple hats.
