Reception & IT Support Coordinator

 

Summary

This role supports the office operations and IT team during a critical transition into a newly owned facility. The position exists to manage daily building opening/closing procedures, handle frontline reception duties, and serve as onsite "smart hands" for the IT Director by setting up audio-visual (AV) equipment and troubleshooting technical needs.

The coordinator will own the front desk experience, act as the primary point of contact for visitors and internal staff, and assist with hands-on technical support, equipment provisioning, and inventory management.

 

Responsibilities

  • Welcome visitors, answer and route incoming calls, and manage the front desk professionally.
  • Assist the IT Director with onsite hardware setup, equipment deployment, and user provisioning.
  • Setup and test conference room audio-visual (AV) equipment for scheduled meetings and presentations.
  • Troubleshoot basic technical issues with hardware, software, printers, and Microsoft Office applications.
  • Open or close the facility daily, maintaining strict adherence to building schedule requirements.
  • Manage the inventory of IT equipment in the server room and order required technology parts.
  • Coordinate incoming mail, distribute office supplies, and support general administrative operations.
  • Interact with all guests and staff with high sensitivity, maintaining professionalism in a trauma-informed environment.

 

Required Experience

  • Experience in customer service or a professional front-desk reception role.
  • Proficiency with Microsoft Office applications and general computer literacy.
  • Basic familiarity with computer hardware troubleshooting and office technology.
  • Exposure to or familiarity with setting up basic audio-visual (AV) equipment.
  • Availability to work a strict Monday through Friday daytime schedule (7:30 a.m. to 4:00 p.m.).
  • Flexibility to adjust morning start times as final facility opening hours are established.
  • Ability to pass a comprehensive background check, drug screen, and FBI fingerprint clearance.

 

Preferred Experience

  • Enrollment in or completion of an IT degree program, technical certification, or technology bootcamp.
  • Prior experience working in a help desk, IT support, or technical smart-hands capacity.
  • Experience managing physical inventory, tracking assets, or ordering technical parts.
  • Previous experience working within a non-profit or community-focused organization.
