Senior AI Workspace Specialist

Position summary

GRT Corporation seeks a Senior AI Workspace Specialist for SENTINEL, a maritime predictive maintenance and fire warning program. The consultant will recommend appropriate tools and personally implement the approved collaboration, knowledge base, identity, AI, and automation environment. The current Microsoft 365 stack is a starting point, not a mandatory architecture.

Technical scope

Claude Team or Enterprise, ChatGPT, Microsoft 365, OneDrive, Entra ID, Git or GitHub, identity and access management, vendor segregation, Windows and macOS environment baselines, indexed or vector retrieval, retrieval quality testing, Power Automate or scripting, regression testing, and configuration drift control.

Responsibilities

Review the current OneDrive, Microsoft 365, Entra ID, external sharing, Claude, and ChatGPT environment and maintain a prioritized issue register.

Recommend the storage, versioning, identity, AI, and automation tools that best fit SENTINEL, including alternatives to the current Microsoft stack, and implement only the option GRT approves.

Create documented, reproducible role based environments on Windows and macOS, including AI clients, connectors, shared instructions, skills, and access.

Track significant platform and AI vendor changes, re verify the approved configuration, use a regression checklist, and restore settings that drift.

Configure role based access and vendor boundaries and test that SENTINEL information cannot cross internal function, role, or vendor boundaries.

Implement one authoritative versioned document store with retrievable history, current version publication for non Git users, indexed or semantic retrieval with measured quality, and migration of existing SENTINEL content.

Build approved SENTINEL workflows for vendor proposals, MSA and SOW comparison, meeting records, project status, requirements and engineering changes, BOM and release traceability, test evidence, certification documentation, and onboarding.

Create cross document checks that flag contradictions among requirements, engineering change orders, test evidence, and vendor material for human resolution.

Set standards that keep AI generated internal documents short and substantive while preserving source citation, human approval, exception handling, and audit evidence.

Train beginner and advanced AI users and deliver configuration records, test evidence, administrator instructions, recovery steps, support procedures, and an improvement backlog.

Required qualifications

Demonstrated hands on enterprise AI implementation using Claude, ChatGPT, or comparable governed tools. Provide specific comparable problems solved and your personal contribution.

Two or more years configuring Microsoft 365 or a directly comparable production platform, including identity, groups, role based permissions, external identities, least privilege, auditability, and user lifecycle management.

Practical Git or GitHub document control experience, including versioning, review, history, and publication for non technical users.

Experience building repeatable workstation and application setups that users can receive and use immediately.

Automation experience with approvals, exceptions, testing, and audit evidence using Power Automate, scripting, or equivalent.

Strong documentation, testing, training, stakeholder communication, and English, with agreed overlap during United States Eastern Time.

Preferred experience

Claude enterprise tools, Projects, Cowork, Claude Code, connectors, skills, or MCP; retrieval indexing, embeddings, vector databases, and retrieval quality measurement; Python or PowerShell; Microsoft certifications; and SENTINEL relevant hardware, PCB, embedded, backend, testing, calibration, maritime, or certification work.

Decision boundaries

The specialist may recommend tools and configure approved environments, access, connectors, workflows, migrations, and role guidance. GRT approval is required for changes to the information model or tooling direction, security exceptions, privileged access, new external sharing patterns, major migration or deletion, subscriptions, licensing commitments, material recurring costs, and changes affecting contractual, certification, vessel, or vendor obligations.
