Document control Lead/Manager
San Jose, CA
The Document Control Lead/Manager (DCM) reports to the Technology Manager and serves as the Business Process Owner (BPO) and Subject Matter Expert (SME) for the project s Document Management lifecycle.
The DCM is responsible for establishing, implementing, and governing document control processes, records management standards, metadata structures, and audit/reporting functions across the program. This role oversees the administration of the Digital Delivery Document Management System (DMS), ensuring secure, compliant, and efficient handling of all project documentation
Qualifications & Experience
Required
- High school diploma + 10+ years of Document Control/Records Management experience
OR bachelor s degree + 5 7 years of experience - Experience must be recent (within the past 5 7 years)
- Minimum 5 years as a Document Control Manager or Lead on a large capital program
Handson experience with centralized EDMS platforms such as Aconex, Documentum, Hummingbird, SharePoint, or similar systems
Preferred
- Experience supporting transportation, infrastructure, or publicsector capital programs
- Strong understanding of metadata governance, audit processes, and records retention
- Experience leading document control teams and training program participants
Duties & Responsibilities
The Document Control Manager will:
Leadership & Governance
- Provide leadership in implementing standardized document control processes and best practices
- Develop, maintain, and enforce the Document Control Plan (DCP)
- Define and assign responsibilities across the Document Control Team (DCT)
- Ensure compliance with client records management requirements
Security, Access & Compliance
- Ensure documents are securely stored and protected from unauthorized access, loss, or damage
- Establish and maintain security access governance
- Approve new user access requests and permission levels
- Manage access determinations for confidential records with client leadership and project managers
- Conduct periodic audits to ensure adherence to the DCP
- Maintain responsibility for archival and longterm retention of records
System Administration & Digital Delivery
- Serve as the SME and BPO for the Digital Delivery DMS
- Ensure active and revised documents are available to authorized users in a timely manner
- Oversee deployment and maintenance of standardized metadata structures
Manage creation, modification, and deletion of metadata and Aconex key terms
Monitor Aconex records for compliance and resolve deviations
- Collaborate with the Digital Delivery Technical Team on feature enhancements and testing
