Position Summary

We are seeking a proactive Monday.com EPMO Analyst / Coordinator to support project intake, portfolio processes, reporting, and tool administration within an Enterprise Project Management Office (EPMO).

This role will be responsible for managing new project requests as they enter the EPMO, ensuring the appropriate information and stakeholders are identified, coordinating projects through the intake and approval process, and supporting the team's portfolio management tools.

A major focus of this position will be Monday.com administration and optimization. The ideal candidate will not simply maintain the existing environment—they will identify inefficiencies, automate manual processes and reporting, improve dashboards and workflows, and help the team get more value from Monday.com.

Previous resource capacity management experience is not required. Strong Monday.com experience is important, and prior experience within an EPMO, PMO, or Project Management environment is strongly preferred.

Key Responsibilities

EPMO Project Intake & Coordination

  • Manage incoming project requests through the EPMO intake process.
  • Review requests for completeness and identify missing information before projects move forward.
  • Ask targeted questions to understand the business need, project scope, stakeholders, resource requirements, timing, and other relevant information.
  • Ensure appropriate business and technology stakeholders are engaged throughout the intake process.
  • Coordinate requests through review, prioritization, and approval.
  • Follow up with stakeholders to keep requests moving and prevent items from stalling.
  • Maintain accurate project and intake information within Monday.com.
  • Work closely with Project Managers, portfolio resources, leadership, and the Resource Capacity Management team.
  • Support the connection between project intake information and resource/labor data maintained within existing time tracking system.

Monday.com Administration & Optimization

  • Serve as a key administrator and subject matter resource for Monday.com.
  • Maintain and improve boards, workflows, forms, dashboards, permissions, and portfolio structures.
  • Evaluate current Monday.com processes and identify opportunities to eliminate inefficiencies.
  • Design and implement Monday.com automations to reduce repetitive or manual work.
  • Improve workflows to make project intake, approvals, tracking, and reporting more efficient.
  • Troubleshoot Monday.com issues and support users with questions and process needs.
  • Recommend enhancements and new approaches rather than simply maintaining existing processes.
  • Help establish scalable standards and best practices for Monday.com across the EPMO.

Reporting, Dashboards & Automation

  • Develop and enhance Monday.com dashboards and portfolio reporting.
  • Identify reporting currently being performed manually and determine opportunities to automate it.
  • Build repeatable reporting processes that improve accuracy and reduce administrative effort.
  • Provide visibility into project intake, approvals, status, portfolio activity, and other EPMO metrics.
  • Partner with stakeholders to understand what information leadership needs and determine the most effective way to present it.
  • Continuously look for opportunities to improve reporting and workflow efficiency.

Time Entry / PPM Tool Support

  • Provide administration and user support for time-entry/resource data and related EPMO processes.
  • Help ensure labor/time information is captured accurately and supports portfolio and resource reporting.
  • Assist with data and process coordination between Monday.com and EPMO workflows.

Required Qualifications

  • Strong hands-on experience with Monday.com.
  • Experience creating and maintaining Monday.com boards, workflows, dashboards, and reporting.
  • Experience with or strong knowledge of Monday.com automations.
  • Ability to analyze existing processes and identify opportunities for automation and efficiency improvements.
  • Experience coordinating project requests, project intake, workflows, or similar business processes.
  • Strong reporting and dashboarding skills.
  • Strong organizational skills with the ability to manage multiple requests and follow-ups simultaneously.
  • Ability to work independently and take ownership of issues through resolution.
  • Strong communication and stakeholder-management skills.
  • Ability to ask pointed, thoughtful questions to uncover missing information and clarify project needs.
  • Comfortable communicating with and professionally challenging senior leaders and stakeholders when information, requirements, or decisions are incomplete.
  • Strong attention to detail and follow-through.
  • Creative, analytical approach to problem solving with the ability to think outside the box.

Preferred Qualifications

  • Monday.com administration experience strongly preferred.
  • Previous experience within an EPMO or PMO environment.
  • Previous Project Manager, Project Coordinator, PMO Analyst, or Portfolio Analyst experience.
  • Experience with a time-entry/resource-management platform.
  • Experience supporting project intake, portfolio governance, or project approval processes.
  • Experience developing automated reporting and executive dashboards.
  • Understanding of project management methodologies and project lifecycle processes.
  • Experience working with senior-level business and technology stakeholders.
  • Resource capacity planning/management exposure is helpful but not required.

 

Ideal Candidate

The ideal candidate is a driver who sees an inefficient process and wants to improve it. They don't wait to be told exactly what to do—they ask questions, identify gaps, recommend solutions, and follow through.

They should have enough professional courage to push back appropriately, including with senior leaders, when a project request is incomplete or does not have the necessary stakeholders, information, or approvals.

This person should be equally comfortable working inside Monday.com to improve a workflow or automate a report and talking with business stakeholders to determine what is needed to move a project request forward.
