Summary

Role: Administrative Analyst
Location: Martinez, CA (4 days onsite)
Duration: 6+ months
Pay Rate: $30 to $35
 
 
Summary: We are seeking a detail-oriented Administrative Analyst to support the administration and coordination of public works construction contracts and capital improvement projects. This role will be responsible for contract preparation, compliance tracking, contractor documentation review, progress payment coordination, and providing administrative support throughout the project lifecycle. The ideal candidate will have experience with California public works contracting and strong organizational and communication skills.

Must Have: Public Works Contract Administration, Construction Contract Documentation & Compliance, Contractor Bonds/Insurance/License Review, Contract Expenditure & Progress Payment Management, California Public Works & DIR/Certified Payroll Compliance, Microsoft Word/Excel/Outlook
 
Key Responsibilities:

  • Administer and coordinate public works construction contract activities.
  • Review contractor documentation including: Performance and payment bonds, Insurance certificates, Contractor licenses, Compliance documentation
  • Prepare contract documents using established templates.
  • Monitor contract expenditures and maintain accurate project records.
  • Coordinate with Risk Management, project managers, contractors, and other stakeholders to ensure contract compliance.
  • Prepare and process monthly construction contract progress payments and invoices.
  • Provide administrative support for the delivery of capital improvement projects.
  • Maintain contract files and ensure all documentation is complete and compliant with applicable regulations.
  • Assist with contract closeout and related administrative activities as needed.

 
Required Qualifications

  • Experience administering or coordinating construction or public works contracts.
  • Strong knowledge of contract documentation and compliance processes.
  • Proficiency with: Microsoft Word, Microsoft Excel, Microsoft Outlook
  • Excellent organizational, analytical, and communication skills.
  • Ability to manage multiple projects and deadlines in a fast-paced environment.

 
Preferred Qualifications

  • Experience with California Public Works contracting.
  • Knowledge of Certified Payroll Compliance requirements.
  • Familiarity with the California Department of Industrial Relations (DIR) regulations and reporting.
  • Experience supporting capital improvement or infrastructure projects.
