POSITION SUMMARY
The Talent Acquisition Coordinator will be a hands-on people partner to our client, playing a critical role in supporting the entire recruitment process and give a positive interaction with candidates in consideration to joining this wonderful organization. This hybrid role will be at our clients HQ offices in Foster City and will involve responsibilities beyond interview coordination, including generating onboarding and termination letters, as well as managing onsite scheduling. The TA Coordinator will help schedule interviews—from phone screens/zooms to onsite—and act as an added point of contact for candidates and hiring teams. Attention to detail, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment are essential. There is an expectation to be on-site in the Foster City offices average 2-4 days a week as needed.
Responsibilities
- Facilitate scheduling requests between candidates and hiring managers for phone, video, and onsite interviews.
- Manage interview logistics, including sending interview schedules and handling reschedules as needed.
- Follow up with hiring teams to ensure timely submission of interview feedback and schedule candidate debrief meetings.
- Send non-disclosure agreements (NDAs) to candidates for signature prior to onsite interviews.
- Generate onboarding letters accurately and timely.
- Manage onsite scheduling activities and coordinate logistics at HQ offices.
- Assist in running monthly status and recruitment reports.
- Perform other administrative duties as required.
Knowledge, Skills, and Abilities:
- Minimum 2 years of experience with extensive international calendaring in Microsoft Outlook, preferably within the pharmaceutical industry.
- Ability to coordinate schedules across multiple global time zones.
- Exceptional attention to detail.
- Strong oral and written communication skills.
- Proven success in a fast-paced, deadline-driven environment.
- Proficient with technology and quick to learn new recruitment systems (experience with Greenhouse is a plus, but not required).
- Demonstrated experience in successful candidate sourcing.
