Vaco is partnering with an enterprise technology organization to hire two Project Coordinators supporting executive leadership within Security and Engineering. These roles will work closely with senior technology leaders, helping bring structure, clarity, and organization to a fast-moving and evolving environment.
This is a 6-month contract engagement with strong likelihood of extension beyond one year. The environment is growing and not yet fully operationalized, so the ideal candidate is proactive, adaptable, and comfortable working through ambiguity while helping establish process discipline.
Interview process includes a 30-minute virtual conversation followed by a one-hour onsite meeting.
What You’ll Be Doing
Executive Support
Build and refine executive-level PowerPoint presentations for board and leadership meetings using input and data provided by senior leaders
Manage complex executive calendars, coordinate meetings, and support inbox organization
Draft professional communications and follow up on action items
Take detailed meeting minutes and track follow-through on decisions and deliverables
Support logistics for internal and executive-facing meetings
Project Coordination
Help track technology, security, and engineering initiatives across multiple teams
Maintain project timelines, milestones, and status documentation
Coordinate meetings, agendas, and follow-up actions across cross-functional stakeholders
Monitor deadlines and escalate risks or dependencies as needed
Support light budget tracking, purchasing workflows, and vendor coordination
Create and maintain project documentation, reports, and executive summaries
Required Experience
3 or more years of experience in project coordination, executive support, or similar administrative roles
Experience supporting senior technology or IT executives
Strong PowerPoint skills with the ability to transform data and talking points into polished executive-ready presentations
Experience tracking action items and managing follow-up across multiple stakeholders
Familiarity with project management tools such as Smartsheet, Asana, or Monday.com
Excellent organizational, communication, and multitasking skills
Ability to operate with discretion and maintain confidentiality
Nice to Have
Experience in technology, security, or engineering organizations
Exposure to light budget tracking or purchasing workflows
Experience supporting executive-sponsored or cross-functional projects
Compensation
Competitive hourly rate based on experience
Engagement is W2 through Vaco
