Job Summary:
The Legal & Administrative Assistant will have a dual focus on Legal administration as well as general administrative support with a focus on scheduling and meeting coordination for the leadership team, booking conference rooms, taking meeting minutes and action items, organizing in-office and remote meetings, and preparing conference spaces and displays. This role also supports in-office events, manages supplies, and assists with logistics such as mailing packages and gifts to ensure seamless operations and positive in-office experience.
NTT DATA Services currently seeks a Legal Office Administrator to join our team in Irvine, CA
Key Responsibilities:
Legal Administration
- Provides direct administrative support to the General Counsel.
- Tracking the receipt and review of contracts, including follow-up, stakeholder communication, and detailed updates of contract tracking systems.
- Strictly maintains all legal file organization including contracts, subrogation files, the legal compliance calendar and all legal compliance filing documentation.
- Manage, negotiate, and settle subrogation liens under direction of the General Counsel.
- Submit periodic filings with the U.S. Department of Labor, California Department of Insurance, Arizona Department of Insurance and other jurisdictions as needed.
- Drafting letters, tracking follow-ups, and any other administrative support required by the General Counsel.
Meeting Scheduling/Coordination & Other Admin Functions - Provides high-level administrative support and assistance to the Executive staff and other assigned leadership staff as needed.
- Performs clerical and administrative tasks including drafting letters, memos, reports, and other documents.
- Scheduling office meetings between teams, managers, and departments including executive events, engagement events, in-office meetings, interviews and remote meetings.
- Manages conference room set up, food ordering and prep, conference room clean up, minute taking and all other elements of in-office meetings including booking conference rooms.
- Effectively reviews and considers all calendars for meeting scheduling to minimize congestion, ensure reasonable timing, and considers broader impacts.
- Arrange travel and accommodation for executives when necessary.
- Research and compares available travel and hotel accommodation to identify the best available option for each travel need, obtains approval and books travel within budget requirements as appropriate.
- Performs office tasks including maintaining records, ordering supplies, mailing and scanning and basic bookkeeping.
- Perform additional duties as assigned.
Requirements:- Minimum 2 years in a professional administrative role.
- High attention to detail including personal organization.
- Excellent written and verbal communication skills, including the ability to effectively summarize and engage in follow-ups.
- Keen sense of urgency and an understanding of broader company impacts.
Preferred:- Legal Administrator experience
- Healthcare Office Administration
- Bachelor’s degree
- Project management certification.

Where required by law, NTT DATA provides a reasonable range of compensation for specific roles. The starting hourly range for this remote role is (65k - 70k annual ). This range reflects the minimum and maximum target compensation for the position across all US locations. Actual compensation will depend on several factors, including the candidate''s actual work location, relevant experience, technical skills, and other qualifications.
