Job Description

  • We are looking for a Supply Chain Administrator / Account Specialist (Level 1 Associate) to support the Procure-to-Pay (P2P) process within the Supply Chain organization. This role plays a critical part in ensuring vendor invoices, payment details, and supplier records are accurate and processed efficiently.
  • The ideal candidate will collaborate closely with Procurement, Accounts Payable, Vendor Maintenance teams, and suppliers to resolve invoice discrepancies, manage vendor information updates, and ensure smooth payment operations.

Key Responsibilities

  • Review and resolve invoice discrepancies while ensuring compliance with company policies and procedures.
  • Investigate and correct vendor invoices that do not match Purchase Orders (POs).
  • Manage freight handling invoice discrepancies and coordinate with relevant stakeholders.
  • Process vendor banking changes in the ERP system to update payment information.
  • Work with vendors and internal teams to resolve payment issues and ensure timely invoice processing.
  • Maintain accurate records of vendor communications, invoices, and issue resolutions.
  • Support the Supply Chain team with administrative tasks related to vendor data and invoice management.
  • Generate reports related to invoice discrepancies and vendor issues for internal review.
  • Assist suppliers by clearly explaining processes, documentation requirements, and next steps.
  • Manage multiple supplier onboarding and enablement cases simultaneously.

Required Qualifications

  • High School Diploma or equivalent (Associate s or Bachelor s degree in Business, Finance, Accounting, or related field preferred).
  • 0 5 years of experience in administrative, supply chain, procurement, or finance support roles.
  • Strong understanding of the Procure-to-Pay (P2P) lifecycle.
  • Excellent communication skills (written and verbal).
  • Ability to work effectively with vendors and cross-functional internal teams.
  • Strong organizational and multitasking skills.
  • Detail-oriented with strong problem-solving ability.

Preferred Qualifications

  • Experience working in Accounts Payable, Procurement, or Supply Chain operations.
  • Experience interacting directly with vendors and external suppliers.
  • Familiarity with ERP systems and invoice management processes.
  • Strong customer-service mindset and professional communication skills.
