Summary

Job Summary

We are seeking a detail-oriented and organized HR Records Coordinator to join our HR Associate Services team. In this role, you will support the employee lifecycle by maintaining HR records, processing employment-related requests, managing HR documentation, and ensuring compliance with company policies and legal requirements. This position requires excellent communication skills, strong attention to detail, and the ability to work independently in a fast-paced, process-driven environment.

 

Key Responsibilities

  • Research and maintain employee HR records, including rehire eligibility, employment verification, and unemployment insurance (UEI) claims.
  • Respond to employment verification requests from internal and external parties.
  • Provide associates and managers with state-specific HR policies and procedural guidance.
  • Process employee data updates and maintain records in PeopleSoft HRIS.
  • Administer and manage HR documentation using DocuSign.
  • Communicate HR policies, procedures, and employee lifecycle processes through email and other communication channels.
  • Support employee transfers, onboarding, terminations, and other HR transactions.
  • Maintain accurate employee records while ensuring compliance with company policies and legal requirements.
  • Track and manage work using Microsoft Excel spreadsheets and internal systems.
  • Open, sort, distribute, and process department mail and HR documents.
  • Collaborate with HR team members, managers, and other departments to resolve employee record inquiries.
  • Prioritize multiple tasks while maintaining accuracy and meeting deadlines.

 

Required Qualifications

  • High School Diploma or GED required.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and organizational skills.
  • Strong critical thinking and problem-solving abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Self-motivated with the ability to work independently.
  • Strong interpersonal and teamwork skills.
  • Basic proficiency in Microsoft Excel.
  • Comfortable performing repetitive administrative and documentation-related tasks.

 

Preferred Qualifications

  • Previous experience in HR Administration, HR Operations, or HR Records.
  • Experience using PeopleSoft HRIS.
  • Experience with DocuSign or electronic document management systems.
  • Previous experience in administrative, customer service, legal support, accounting support, or data entry roles.
  • Prior experience working with employment records or employee documentation.
