Job Summary

We are seeking an experienced Smart Square Change Management Lead to support a healthcare organization's transition from Clairvia to Smart Square. This role will be responsible for driving organizational readiness, user adoption, communication, training, and change management activities across nursing operations. The ideal candidate will possess deep expertise in healthcare workforce management, nursing scheduling processes, and Smart Square implementations.

The consultant will partner with nursing leadership, staffing teams, operational stakeholders, and project teams to ensure a successful adoption of Smart Square while minimizing disruption to patient care and workforce operations.

Key Responsibilities

  • Lead organizational change management activities for the migration from Clairvia to Smart Square.
  • Develop and execute a comprehensive change management strategy, communication plan, and adoption roadmap.
  • Assess organizational readiness and identify potential adoption risks and resistance points.
  • Collaborate with nursing leadership, staffing coordinators, workforce management teams, and operational stakeholders.
  • Design and deliver training programs, user guides, job aids, and communication materials.
  • Facilitate stakeholder engagement sessions, workshops, and change impact assessments.
  • Drive user adoption initiatives focused on:
    • Open Shift Management
    • Mobile Scheduling
    • Self-Scheduling
    • Optimized Scheduling
    • Shift Bidding Processes
  • Support labor optimization initiatives aimed at reducing overtime and improving workforce utilization.
  • Develop metrics and dashboards to measure adoption, engagement, and operational effectiveness.
  • Provide post-go-live support and reinforce change adoption strategies.
  • Identify and address change resistance while promoting best practices across nursing operations.

Required Qualifications

  • 7+ years of experience in Healthcare Workforce Management, Change Management, or Nursing Operations.
  • Hands-on experience leading or supporting Smart Square implementations.
  • Experience with Clairvia to Smart Square migration projects preferred.
  • Deep understanding of:
    • Nursing Scheduling
    • Workforce Management
    • Staffing Operations
    • Labor Productivity
    • Clinical Resource Planning
  • Strong experience in Organizational Change Management (OCM).
  • Experience developing communication, training, and readiness strategies.
  • Ability to work effectively with nursing leadership and frontline clinical staff.
  • Excellent stakeholder management and facilitation skills.

Preferred Qualifications

  • Healthcare provider or hospital system experience.
  • Experience with workforce optimization and labor cost management initiatives.
  • Knowledge of staffing compliance, scheduling policies, and nursing workforce regulations.
  • Experience using Smart Square reporting and analytics.
  • Change Management certification such as:
    • Prosci
    • CCMP
    • ADKAR
  • Bachelor's degree in Healthcare Administration, Nursing, Organizational Development, Human Resources, or related field.
