Summary

The IT Asset Management Senior Specialist is responsible for the enterprise-wide lifecycle management of IT assets, including hardware, and software asset management. This role ensures asset accuracy, compliance, cost optimization, and governance across the organization. The ideal candidate demonstrates strong analytical and organizational skills, attention to detail, professionalism, and the ability to develop and execute strategic asset management initiatives. The position will ensure accurate records, maximizing asset utilization, minimizing organizational costs, and maintaining compliance with internal policies and vendor requirements.

Essential Duties & Responsibilities:
  • Manage IT hardware assets throughout their lifecycle, ensuring accurate inventory records, audit compliance, and data integrity. Conduct inventory audits, resolve discrepancies, maintain 95%+ asset accuracy, support reporting and compliance activities, and drive process improvements to enhance asset management efficiency.
  • Manage and maintain hardware, software, and cloud asset inventories within the asset management system, ensuring data integrity and compliance
  • Reliable attendance at work.
  • Process Desktop Software Requests, Software On-Boarding Requests, Software Acquisition, and Integration onboarding.
  • Identify cost-saving opportunities through asset reclamation, inventory optimization, hardware rationalization, alternative support models, and improved deployment practices.
  • Support internal and external vendor audits by providing accurate asset, license, and entitlement information.
  • Develop, implement, and maintain asset management policies, procedures, and best practices to support effective and cost-efficient asset governance.
  • Track software assets throughout their lifecycle and provide accurate compliance reporting for in-scope software products.
  • Perform timely reconciliation of software and hardware asset records, ensuring alignment between lifecycle data and asset management systems.
  • Manage software entitlement records to support technology refresh, upgrade, and end-of-life initiatives while researching and resolving data discrepancies.
  • Evaluate hardware and software inventories to identify assets that can be redeployed, harvested, retired, or replaced with more cost-effective alternatives.
  • Monitor the performance and quality of asset management tools and supporting systems, identifying issues, and maintaining related process documentation.
  • Back-up: CIO task and Domain and SSL Certificate Renewals, Other Duties as assigned

Requirements: Education and/or experience, knowledge, skills & abilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements for this position are listed below:
  • Experience in IT Asset or Inventory Management, Software Asset Management, or related disciplines.
  • Understanding of ITAM and ITIL Framework
  • Experience with software application and hardware relationship mapping
  • Experience with CMDB technologies and processes
  • Good organization skills with ability to prioritize work and handle multiple tasks concurrently to achieve results
  • Strong ability to communicate (oral and written) with multiple levels of organization (internally and externally) effectively and concisely, including technical documentation and training materials
  • Strong analytical, reporting, problem-solving, and process improvement skills.
  • Able to function and work collaboratively in a team environment
  • Adapt well to change
  • Proficient in Microsoft Excel, Visio, and PowerPoint
Experience requirements are aligned with the selected job level:
  • Specialist/Analyst: Bachelor's degree (or equivalent experience) with 2-5 years of relevant experience.
  • Senior Specialist/Analyst: Bachelor's degree (or equivalent experience) with 5-8 years of relevant experience.
  • Lead Specialist/Analyst: Bachelor's degree (or equivalent experience) with 8+ years of relevant experience.
Preferred Qualifications
  • Working knowledge of ServiceNow, SAP, and Power BI is preferred.
  • Ability to manage multiple priorities while maintaining a high level of accuracy and professionalism.
  • Bachelor's degree or equivalent work experience required
  • 2-5 years' experience in Information Systems
  • 2-5 years' experience in a hardware or inventory asset management focused role
Working Conditions
  • Occasional callouts, overtime, or after-hours support may be required.
  • Lifting up to 50 lbs.
  • Driving, walking, standing frequently.
  • Occasional visits to industrial/manufacturing settings, which may include exposure to various materials and chemicals, as well as extreme temperature conditions and loud machinery, and require appropriate personal protective equipment.
