Description
The Procurement & SOW Operations Specialist plays a critical role in ensuring end to end accuracy, compliance, and operational excellence across Statements of Work (SOWs), Purchase Orders (POs), vendor management, and procurement governance. This role acts as a strategic liaison between internal business stakeholders, vendors, Finance, Legal, and Compliance teams to ensure timely execution, risk mitigation, and alignment with business objectives. ________________________________________ Key Responsibilities 1. Statement of Work (SOW) Review & Lifecycle Management Review, validate, and process Statements of Work prior to execution, ensuring alignment with business requirements, budget expectations, and contractual terms. Perform detailed analysis of scope, deliverables, pricing structures, rate cards, milestones, and SLAs. Collaborate with Legal, Finance, and business owners to address redlines, risk items, or changes required for approval. Maintain accurate documentation and ensure SOWs remain compliant throughout their lifecycle. 2. Purchase Order (PO) Creation, Processing & Reconciliation Manage the end to end PO process including request creation, routing for approval, and tracking through fulfillment. Reconcile discrepancies between POs, invoices, and SOWs by partnering with Accounts Payable, Finance, and vendors. Escalate and unblock PO issues-such as funding delays, coding errors, or approval bottlenecks-in collaboration with internal teams. Utilize ERP and procurement systems (e.g., Workday, Lawson, Coupa) to manage requests, validate funding, and ensure accurate GL coding. 3. Third Party Vendor Management Serve as a primary point of contact for third party vendors, maintaining strong relationships and ensuring adherence to contractual commitments. Evaluate vendor performance by reviewing SLA adherence, issue resolution, cost efficiency, and service quality. Lead vendor issue remediation by engaging stakeholders, escalating concerns, and enforcing corrective actions when vendor performance falls short. Support renegotiation of terms, pricing, and contract structures when needed. 4. Risk, Compliance & Financial Governance Identify potential risk areas within SOWs, vendor proposals, or procurement workflows, including scope ambiguity, pricing concerns, and missing compliance elements. Ensure contract compliance throughout each project lifecycle by monitoring milestones, tracking deliverables, and validating invoices. Partner with Legal, Information Security, and Compliance teams to evaluate vendors, perform due diligence checks, and support required audits. 5. Cross Functional Collaboration & Stakeholder Enablement Act as the connective tissue between business stakeholders, Finance, Legal, and vendors. Prioritize competing stakeholder needs while ensuring procurement policy adherence. Educate internal teams on procurement processes, SOW requirements, vendor onboarding, and PO workflows. Confidently push back when requests conflict with policy, budget, or risk thresholds, while maintaining strong business relationships.
