Position Overview
 
This role is best described as a Staff Accountant–level position supporting the accounting operations across multiple entities. The accountant will focus heavily on bank reconciliations, journal entries, fund bookkeeping, and investment reconciliations, while also serving as backup payroll support. The position is designed for someone looking for long‑term stability and career longevity rather than short‑term advancement.
 
This is a 100% on‑site role in Annapolis, MD 21401 and is non‑negotiable aside from very limited exceptions (holiday closure or severe weather).  Salary range is 80K to 92K depending on experience.  – don’t forget the great benefits and retirement plan!
 
 
Reporting Structure & Team
  • Reports directly to the Assistant to the Comptroller
  • Accounting team size: 6 total team members
  • Highly collaborative but structured environment
 
Top Priorities (First 90 Days)
  1. Own bank reconciliations
    • Multiple banks and accounts
    • Transition currently underway from Bank of America to PNC
    • Some high‑volume general fund accounts; others are low‑activity
  2. Journal entries and daily accounting tasks
    • Investment reconciliations
    • Daily bookkeeping for smaller funds (deposits, checks)
    • Fixed assets updates as needed
  3. Learn Company‑specific processes
    • Union accounting nuances
    • Cash‑basis accounting
    • LM‑2 reporting exposure (supporting role)
 
Core Responsibilities (Time Allocation Insight)
Primary focus areas:
  • Bank reconciliations (largest time commitment)
  • Journal entries
  • Investment analysis & reconciliations
  • Accounts Payable / Accounts Receivable support
  • Fund bookkeeping for smaller and nonprofit entities
 
Secondary / backup responsibilities:
  • Payroll support (backup only)
  • Audit support
  • Convention‑related accounting (periodic, not constant)
 
Payroll Environment
  • Primary Processor: ADP Workforce Now (U.S.)
  • Canadian Payroll: Ceridian (small population)
    • Approx. 110 U.S. employees / 20 Canadian employees
  • Payroll duties are not primary
    • Accountant is cross‑trained quarterly
    • Acts as backup if payroll lead is unavailable
  • Multicurrency or international payroll experience is preferred but not required
 
Systems & Tools
  • ERP: Microsoft Dynamics Great Plains (daily use)
    • Experience preferred but not required
    • Other ERP experience (Oracle, SAP, NetSuite, etc.) is transferable
  • Excel: Intermediate level expected
    • Formulas, lookups, pivot tables
    • No advanced modeling or macros required
  • Limited QuickBooks exposure (not required for this role)
 
Accounting Environment
  • Cash‑basis accounting
  • Multiple entity types:
    • 501(c)(5)
    • 501(c)(3) charities
    • Pension & labor‑management entities
  • No custom ERP code; system is largely “out‑of‑the‑box”
 
 
Busy Periods & Workload Expectations
High‑intensity periods:
  • Calendar year‑end (W‑2s, 1099s, T4/T4A)
  • Fiscal year‑end June 30 (LM‑2 reporting)
  • Convention cycle years
 
Overtime:
  • Generally minimal
  • May be required during exceptional events or high‑volume periods
  • Approved and compensated per union agreement
 
 
Work Schedule & Attendance Expectations
  • 100% on‑site
  • Standard hours: Monday–Friday
    • Shift options:
      • 8:00–3:30
      • 8:30–4:00
      • 9:00–4:30
  • Strict time and attendance expectations
    • Hourly role
