Summary

Software Guidance & Assistance, Inc., (SGA), is searching for a Medical Staff Services Coordinator for a Contract assignment with one of our premier Healthcare clients in San Francisco, CA .

Responsibilities :
The Medical Staff Services Coordinator provides administrative and operational support for the Medical Staff Office, including committee coordination, credentialing and privileging support, records and data management, correspondence, and special projects. The position supports day-to-day medical staff activities, maintains accurate records and reports, coordinates meetings and deadlines, and serves as a liaison with providers, hospital departments, and leadership. The role requires strong organization, judgment, confidentiality, and the ability to manage multiple priorities in a fast-paced healthcare environment.
  • Coordinate calendars, meetings, invitations, agendas, materials, and follow-up activities for Medical Staff Office committees and leadership.
  • Prepare, organize, and distribute meeting materials; record, finalize, and distribute meeting minutes and action items.
  • Maintain accurate medical staff records, credentialing and privileging information, committee records, databases, spreadsheets, and other information resources.
  • Support processing of medical staff applications and verification of physician licensure, certifications, and related documentation.
  • Draft, proofread, and distribute correspondence, reports, presentations, and other communications for medical staff and leadership.
  • Monitor and respond to Medical Staff Office emails and requests; track deadlines, follow-up items, and time-sensitive activities.
  • Prepare routine reports and data summaries; collect and organize information to support Medical Staff Office operations and leadership decision-making.
  • Coordinate small to mid-level projects and special initiatives, including timelines, deliverables, meetings, status updates, and related documentation.
  • Serve as a liaison among medical staff, hospital departments, leadership, and other contacts to support continuity of medical staff activities.
  • Assist with special projects related to credentialing, privileging, policies and procedures, compliance, and department operations.
  • Manage competing priorities, respond to time-sensitive requests, and use sound judgment to escalate issues when appropriate.
  • Perform other duties and projects as assigned.

Required Skills :
  • Bachelor's degree in a related field or equivalent experience/training.
  • Experience providing administrative support in a healthcare, medical staff, academic, or similarly complex organization.
  • Ability to work independently, manage multiple priorities, and meet demanding timelines.
  • Strong organizational, analytical, problem-solving, and project coordination skills.
  • Excellent written and verbal communication skills with strong interpersonal and customer service skills.
    Ability to maintain confidentiality, use discretion, and handle sensitive information appropriately
Preferred Qualifications
  • Experience supporting medical staff services, credentialing, committee administration, or healthcare operations.
  • Familiarity with APeX EMR and related medical staff, credentialing, or quality/risk management systems.
  • Experience with data management, reporting, spreadsheets, and small to mid-level project management.
