Job Summary

UST Global is seeking a highly organized and detail-oriented Project Coordinator to support project operations, reporting, onboarding activities, and budget tracking for enterprise-level initiatives. The ideal candidate will have strong coordination skills, experience creating executive reports, managing project documentation, assisting with resource onboarding, and monitoring project budgets while collaborating with cross-functional teams.

Key Responsibilities

  • Coordinate project activities and ensure timely completion of assigned deliverables.
  • Create and maintain project reports, dashboards, status updates, and executive presentations.
  • Track project milestones, risks, issues, and action items.
  • Manage onboarding and offboarding activities for project resources, including system access, documentation, and coordination with internal teams.
  • Monitor project budgets, expenses, forecasts, and resource allocations.
  • Assist Project Managers with financial tracking, purchase requests, invoices, and budget reconciliation.
  • Schedule and facilitate project meetings, prepare meeting agendas, and document meeting minutes.
  • Maintain project documentation, governance artifacts, and compliance records.
  • Coordinate with business stakeholders, vendors, finance, HR, and technical teams to ensure smooth project execution.
  • Support project planning, resource tracking, and overall project administration.
  • Ensure project documentation follows organizational standards and best practices.
  • Identify process improvement opportunities to enhance project efficiency.

Required Qualifications

  • Bachelor's degree in Business Administration, Project Management, Finance, or a related field.
  • 3+ years of experience as a Project Coordinator, PMO Coordinator, or Project Administrator.
  • Experience creating project reports, dashboards, and executive presentations.
  • Hands-on experience managing onboarding/offboarding activities.
  • Experience tracking project budgets, expenses, and financial reports.
  • Strong knowledge of project coordination methodologies and project lifecycle.
  • Excellent organizational, communication, and stakeholder management skills.
  • Strong analytical and problem-solving abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
