Job#: 3022416 Job Description: Position Overview- The Document Control Specialist supports project teams by organizing, coordinating, and maintaining essential project documentation. This role manages document control setup for multiple small projects and provides assistance on medium and large projects as needed. The position ensures compliance with documentation standards, facilitates communication across teams, and supports efficient project execution through strong organizational and administrative skills.
Key Responsibilities- Set up and maintain document control systems for multiple small projects; assist on medium and large projects as required.
- Collaborate with team members to establish and refine documentation standards, procedures, and workflows.
- Communicate document system processes and requirements to project personnel clearly and effectively.
- Coordinate documents with engineers and project team members to meet project needs and deadlines.
- Compile electronic project data books and ensure accuracy of final deliverables.
- Issue transmittals to clients and vendors following established procedures.
- Receive, review, log, and process vendor submittals.
- Package and distribute electronic documents for clients, vendors, and internal stakeholders.
- Identify and report vendor or client documentation issues to the appropriate personnel for resolution.
- Monitor document workflows to ensure timely review, approval, and distribution.
- Perform additional duties as assigned to support project and team needs.
RequirementsEducation & Experience- High School Diploma or GED and a minimum of 3 years of relevant experience;
- Applicable experience may be substituted for the education requirement.
Technical Skills- Proficiency with Microsoft Office applications, including Word, Excel, and Access.
- Strong and accurate data entry skills.
Professional & Cognitive Abilities- Ability to understand, remember, and follow written instructions and established guidelines.
- Ability to organize ideas and information in clear, understandable terms.
- Strong problem-solving skills with the ability to apply practical, common-sense reasoning.
